Job Description
Role Summary
Reporting to the Director, KenShop is seeking an experienced and dependable Finance & Human Resources Executive to manage the company's day-to-day financial and HR operations. The successful candidate will ensure accurate financial reporting, effective cash-flow management, timely payroll administration, legal and regulatory compliance, and consistent support throughout the employee lifecycle.
This position is suited to a hands-on professional who can work independently, maintain strict confidentiality, and support management with reliable financial and workforce information.
Key Responsibilities
Finance and Accounting
- Maintain complete and accurate accounting records, including accounts payable, accounts receivable and general ledger entries.
- Prepare monthly management accounts, financial reports, budgets and cash-flow forecasts.
- Prepare daily reconciliation reports of multiple sales channels from vending machines, retail shop and e-commerce against electronic payment systems records and bank receipts.
- Support month-end and year-end closing activities.
- Perform bank, supplier, customer and ledger reconciliations.
- Process supplier invoices, customer payments, staff claims and other financial transactions.
- Monitor outstanding receivables and follow up on overdue payments.
- Manage payment schedules and ensure suppliers and statutory obligations are paid on time.
- Support inventory costing, stock reconciliation and margin analysis.
- Coordinate annual audits and liaise with auditors, banks, tax agents and government authorities.
- Prepare and submit applicable tax (quarterly GST, annual income) and statutory filings accurately and on schedule.
- Strengthen internal controls and recommend improvements to financial processes.
- Provide management with financial analysis and reports to support business decisions.
Human Resources
- Manage recruitment activities, including job postings, candidate screening, interview coordination and employment offers.
- Handle employee on-boarding, confirmation, transfers, promotions and off-boarding.
- Maintain accurate and confidential personnel files, leave records and attendance information.
- Prepare monthly payroll and administer employee benefits, claims and statutory contributions.
- Prepare employment contracts, HR letters, policies and other employee documentation.
- Submit and monitor work pass applications and claims for government paid leave.
- Respond to employee queries and support the resolution of workplace concerns.
- Coordinate performance reviews, staff training and employee engagement activities.
- Assist management with manpower planning, compensation reviews and disciplinary matters.
- Ensure HR practices comply with applicable employment laws and company policies.
- Monitor HR metrics and prepare regular reports for management.
Administration and Compliance
- Maintain organised financial, payroll, personnel and corporate records.
- Coordinate with external vendors and professional service providers.
- Carry out other finance, HR and administrative duties assigned by management.
Requirements
- Diploma or bachelor's degree in Accounting, Finance, Human Resource Management, Business Administration or a related discipline.
- At least three years of relevant experience covering both finance and human resources with practical experience in bookkeeping, financial reporting, payroll and HR administration.
- Sound understanding of accounting principles, employment requirements and statutory compliance.
- Proficiency in Microsoft Excel, Quick-Books and Info-Tech HRMS
- Strong numerical, analytical and problem-solving abilities.
- Excellent organisation and time-management skills, with close attention to detail.
- Good written and verbal communication skills.
- Ability to manage multiple priorities and work with minimal supervision.
- High level of integrity, professionalism and discretion when handling confidential information.
