Job Summary

We are looking for a Finance Executive in Singapore, to manage daily accounts functions and quarterly reporting while supporting finance, payroll, contracts, and executive operations to drive organisational efficiency and compliance. This could be a part-time role for people re-entering the workforce after a career break, or an excellent opportunity for mid/late career professionals who know their way around the usual finance and accounting needs of an SME.

Responsibilities

Finance and Payroll Support

  • Process payroll data confidentially, including managing e-signing of staff contracts and client documents to ensure timely and accurate payments
  • Submit CPF contributions and upload required information onto the CPF portal to maintain statutory compliance
  • Prepare and file Annual IR8a tax forms accurately for all employees
  • Assist in preparing quarterly GST submissions to support financial reporting and compliance

Contracts and Confidential HR Handling

  • Draft, review, and manage contracts with staff, clients, and service providers to ensure clear and compliant agreements
  • Respond to client procurement requests by providing accurate background information promptly
  • Maintain confidential employee records and ensure adherence to HR policies and national regulations
  • Oversee year-end contract renewals and issuance of appointment letters for staff and contractors to maintain workforce continuity
  • Monitor and ensure compliance with all relevant government policies and updates
  • Identify applicable government grants and initiatives, preparing and submitting applications to secure funding opportunities
  • Track G-Biz opportunities and alert Business Development to potential growth initiatives

Company Directors Executive Support

  • Coordinate and schedule quarterly company review meetings, managing event logistics to facilitate smooth execution
  • Develop presentation materials by consolidating financial data and modeling results for internal and external stakeholder communication
  • Extract from the financial records the needed information for Quarterly reviews and other internal meetings to support future planning.
  • Review reports for content accuracy, presentation quality, and completeness before distribution to clients and stakeholders

Required competencies and certifications

  • Proficient using online finance applications such as QuickBooks, Xero and similar (We use Zoho)
  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint) demonstrated by creating accurate documents, data models, and presentations
  • Strong written and verbal communication skills in English to prepare clear reports and correspondence
  • Attention to detail and accuracy in data entry, record-keeping, and document management to ensure compliance and reliability

Preferred competencies and qualifications

  • Previous experience in a professional services company supporting finance, HR, or office management functions
  • Diploma in Human Resources, Finance, Business Administration, or a relevant field
  • Strong organizational skills with the ability to multitask and prioritize competing demands effectively
