Kita is a youth development nonprofit using person-centric and participatory practices to return agency to youths and their communities. We support youths from under-resourced backgrounds through community gatherings, personal exploration opportunities, and structured career programmes that prepare them for meaningful employment. As a rapidly evolving organisation, we're hiring a dedicated coordinator for the first time to establish the operational foundation that will support our growth.
About the Role
We're seeking a detail-oriented Finance and Operations Coordinator to establish and maintain the administrative backbone of our organisation. Working 2.5 days per week (flexibly arranged), you'll ensure our financial transactions are processed accurately, our records are organised, and our day-to-day operations run smoothly. You'll work closely with our Executive Director and Board to support Kita's financial health and operational efficiency during this critical growth phase.
This role is ideal for someone who finds satisfaction in creating order from complexity, takes pride in accurate record-keeping, and wants to contribute to youth development by ensuring our operations run smoothly behind the scenes.
Financial Administration (50% of time)
- Process invoices and vendor payments following documented procedures
- Track expenses and process staff reimbursements in a timely manner
- Maintain donor database and process gift acknowledgements
- Compile financial documentation as requested by board accountant for grant reporting
- Process timesheets and submit to payroll service provider
- Maintain organised filing systems for all financial records
Governance and Compliance Support (20% of time)
- Prepare materials and agendas for board meetings in coordination with Executive Director
- Take meeting minutes and track follow-up actions
- Maintain organised files of compliance documents and legal agreements managed by leadership
- Follow documented protocols for document version control and retention
Operations Coordination (30% of time)
- Serve as first point of contact for general enquiries via phone and email
- Coordinate meeting schedules for Executive Director and team
- Maintain contact databases for partners, donors, and stakeholders
- Take notes during team meetings and track action items
- Support cross-functional projects with logistics and documentation
- Follow documented protocols for file organisation and data backup
We're Looking For
Required:
- 1-2 years of experience in administrative, bookkeeping, or operations roles
- Strong attention to detail and accuracy in data entry and record-keeping
- Proficiency with Google Workspace (Sheets, Docs, Drive)
- Comfortable learning new software systems (accounting software, donor databases)
- Excellent organisational skills with ability to manage multiple deadlines
- Clear written and verbal communication in English
- Ability to work independently and follow documented processes
Valued but not required:
- Experience with accounting software (Xero)
- Prior experience in nonprofit sector
- Understanding of basic bookkeeping principles
- Familiarity with donor management systems
