Job Description

We are seeking a committed and detail-oriented Finance & Administration Officer to manage the organisation's finance operations and administrative functions. The role requires the candidate to support financial reporting, grant management, audit compliance, and operational processes, working closely with the Management Committee and external stakeholders such as Sport Singapore.

Key Responsibilities

Financial Operations

  • Process payments, including vendors, service providers, coaches, and officials, in accordance with internal controls and approval processes
  • Maintain accurate and timely recording of financial transactions in accounting systems
  • Monitor accounts payable and follow up on outstanding invoices
  • Ensure proper documentation and compliance with organisational financial policies

Financial Reporting & Governance

  • Prepare and present regular financial reports to Management and the Executive Committee
  • Extract, analyse, and consolidate financial data for reporting and decision-making
  • Support the preparation of annual financial statements and management reports
  • Assist in budgeting and financial planning processes

Audit & Regulatory Compliance

  • Coordinate with external auditors, SportSG, and relevant authorities on audit and compliance matters
  • Prepare audit schedules, reconciliations, and supporting documentation
  • Ensure compliance with regulatory, funding, and financial reporting requirements

Grant & Fund Management

  • Support the preparation and submission of grant applications and claims to SportSG
  • Monitor grant utilisation and ensure compliance with funding guidelines
  • Maintain proper documentation and audit trails for all grant-related transactions

Claims & Reimbursements

  • Process and verify claims submitted by staff, committee members, coaches, and officials
  • Ensure completeness and accuracy of supporting documents prior to reimbursement
  • Maintain proper records of claims, approvals, and disbursements

Administrative & Operational Support

  • Coordinate logistics and bookings (e.g. venues, travel, accommodation) as required
  • Provide administrative support for daily office operations and organisational activities
  • Support the General Manager in the oversight of the National Training Facility, including coordination of day-to-day operations
  • Assist in monitoring the upkeep, maintenance, and cleanliness of the facility to ensure it remains in proper working condition
  • Liaise with relevant vendors, service providers, and stakeholders for facility maintenance and operational needs
  • Support scheduling and coordination of facility usage by teams, coaches, and external parties

Other Duties

  • Perform ad-hoc finance and administrative duties as assigned by Management

Requirements

  • Certificate in Accounting, Diploma, or equivalent qualification in a related field
  • At least 5 years of relevant experience. Experience in-profit or sports organisation will be an advantage
  • Proficient in accounting software and Microsoft Office applications (especially Excel)
  • Knowledge of grant management and audit processes is an advantage
  • Strong attention to detail with good organisational and time management skills
  • Ability to work independently and collaboratively with stakeholders

Preferred Attributes

  • Experience working with National Sports Associations or similar organisations
  • Familiarity with SportSG funding frameworks and requirements
  • Strong integrity and ability to handle confidential information
