Job Description

The Finance & Admin Executive supports SID's finance operations and corporate services. This role is responsible for managing accounts payable and receivable processes, assisting with audits and committee meetings, and coordinating office administration to ensure compliance, accuracy, and smooth organizational functioning.

Key Responsibilities

Primary Responsibilities - Finance Operations (AP and AR Management)

  • Managed a full/partial set of accounts, ensuring accuracy and compliance with accounting standards
  • Prepare and process supplier payments and refunds, ensuring proper documentation, compliance with internal controls, and timely execution
  • Record and maintain supplier invoices in the accounting system, ensuring accuracy before month-end closing to support reconciliation and reporting
  • Assist with accounts receivable processes to ensure accurate financial tracking
  • Prepare and verify funding documents for government projects, ensuring timely submission to meet funding requirements

Primary Responsibilities - Office Administration

  • Manage routine office administration tasks such as ordering stationery and pantry supplies, and liaising with vendors to support daily operations
  • Coordinate internal communications related to office schedules, cleaning services, and operational updates
  • Obtain vendor quotations, compare service options, and prepare recommendations for management approval

Secondary Responsibilities - Governance & Committee Support

  • Prepare clear and concise meeting notes for Finance and Audit Committee meetings, capturing key discussions, decisions, and follow-up actions
  • Assist in coordinating board meetings, including the Annual General Meeting (AGM), ensuring smooth execution and proper governance documentation
  • Coordinate scheduling and logistics for Council, Executive Committee, and Nominating & Governance Committee meetings

Required Competencies & Qualifications

  • Diploma in Accounting or LCCI Higher in Accounting qualification.
  • Minimum 3years of relevant accounting experience
  • Proficiency in Microsoft Office applications
  • Strong numerical, analytical, and organizational skills

Preferred Competencies & Qualifications

  • Prior experience working in non-profit organisations
  • Strong interpersonal and communication skills, with the ability to work collaboratively across teams
