Job Description

Role Purpose
The Facilities and Property Executive supports the Facilities Manager in the day-to-day administrative and operations of the Sentosa Sensoryscape project. The role focuses on administrative coordination and on-site supervision of sub-contractors, including those engaged directly by Sentosa Development Corporation, acting in a Managing Agent (MA) support role to ensure service standards, site presentation, and compliance are consistently maintained.

In addition, the role involves coordinating with relevant stakeholders, including operations teams, event organizers, tenants, and government agencies, to support daily operations and special events effectively.

Working Hours

  • Based on a 5.5-day work week subjected to operational requirements.
  • Availability to work on weekend, public holiday, and after-hours support may be required to support Sentosa events, peak periods, or operational needs.
  • Time-off or compensation arrangements shall be in accordance with company policy.
    Key Responsibilities

1. Administrative & Coordination Support

  • Assist the Facilities Manager with daily administrative tasks related to facilities operations.
  • Maintain records including service reports, inspection checklists, correspondence, permits, document updating and filing.
  • Assist in processing purchase requisitions, invoices, petty cash documentation, and submissions to Finance.
  • Support preparation of reports, schedules, minutes of meeting(s) and audit documentation as required.

2. Contractor Supervision (MA Support Role)

  • Assist in overseeing sub-contractors performance, such as landscaping, cleaning, system maintenance etc., to ensure compliance with contractual scope and service standards.
  • Conduct routine site inspections to monitor cleanliness, landscape, system conditions, and overall site presentation.
  • Record observations, follow up on rectification works, and report non-compliance to the Facilities Manager.
  • Monitor contractor attendance, manpower deployment, and operational efficiency.

3. Site Operations and Event Support

  • Act as a point of contact for day-to-day site matters.
  • Assist in handling service requests, feedback, and minor complaints from both internal and external stakeholders.
  • Coordinate with internal teams and external vendors to support smooth site operations, including support for events.

4. Compliance, Safety & Standards

  • Assist in ensuring contractors comply with site rules, safety requirements, and Sentosa standards.
  • Support inspections, audits, and compliance checks (e.g. internal audits, client inspections).
  • Ensure proper documentation and records are maintained for accountability and traceability.

Requirements

  • Diploma or equivalent qualification in Facilities Management, Property Management, or related field.
  • 1-3 years of relevant experience in facilities, property, or site operations preferred.
  • Experience in managing contractors (such as landscape and/or cleaning) and working in a Managing Agent (MA) environment is an advantage.
  • Good administrative, communication, and organisational skills.
  • Willingness to work on site and provide operational support during events and after office hours when required.
  • Able to respond to site emergencies and operational needs outside of regular working hours
