Job Description

Job Purpose

To manage and oversee the planning, coordination, and execution of volunteer management activities, ensuring efficient use of resources, effective volunteer engagement, and smooth implementation of programmes. The role focuses on enhancing the volunteer experience, promoting volunteerism, and fostering a positive, supportive environment for both volunteers and the organisation.

Job Responsibilities

Volunteer Management System

. Manage and oversee the Singapore Red Cross Volunteer Management System (VMS).

. Ensure that the records of volunteers and members are accurate, up-to-date, secure, and comply with the Personal Data Protection Act.

. Provide training and support to Volunteer Managers on using the VMS.

. Oversee the volunteer and event recruitment process through VMS, including content screening, scheduling, tracking hours, and archiving.

. Manage the activation and deactivation of volunteer, member, and staff accounts in thesystem.

. Work with vendors to implement system updates or improvements.

. Assist in creating and reviewing training materials and user guides.

. Manage quarterly updates for the VMS, ensuring accurate records and updates for volunteer groups.

. Lead the VMS workgroup to ensure the system runs smoothly and continuously improves.

Volunteer Leadership

. Oversee the Volunteer Leadership Programme, including recruitment and performance management of Volunteer Leaders (VL) and supporting workgroups.

. Work with Programme and Volunteer Managers to identify dedicated volunteers with leadership potential to join the VLP.

. Keep records of training and report on VL training outcomes.

. Collaborate with Volunteer Leaders and workgroups to improve training materials, ensuring content is of high quality and up-to-date.

. Conduct post-training evaluations and use feedback to improve the programme.

Volunteer Engagement and Social Media

. Manage the recruitment of SRC-specific workgroup requirements

. Track volunteer engagement across SRC and between programmes

. Monitor and evaluate feedback from volunteers, Community Partners, and SRC Programme / Volunteer Managers for further improvements on a scheduled basis(Volunteer Satisfaction / Engagement Survey).

. Collaborate with the Volunteer Workgroup to create and manage engaging social media content.

. Focus on promoting volunteerism by highlighting volunteer stories, initiatives, and their impact on the community.

. Use social media platforms to inspire and engage the community, showcasing the contributions of volunteers.

Job Specifications

Qualifications and Experience

. Degree in Human Resources, Marketing, Public Relations or Event Management

. Prior working experience in the social service sector or volunteer management would be an advantage

Additional Skills and Knowledge

. Effective Communication: Ability to communicate with volunteers, staff, and stakeholders, both verbally and in writing.

. Leadership and Motivation: Skills to inspire, guide, and engage volunteers, ensuring they remain committed.

. Organisational and Time Management: Ability to manage multiple tasks/projects, coordinate schedules, and ensure efficient use of resources.

. Problem-Solving and Conflict Resolution: Capability to address challenges and resolve conflicts within volunteer teams.

. Knowledge of Volunteer Management Systems (VMS): Proficiency in using VMS for tracking volunteer data, managing records, and ensuring compliance
