Job Responsibilities
Meetings, Projects & Events Administration
Coordinate with the Faculty Leadership Development (FLD) team to plan and schedule meetings, projects and events.
Have good understanding of campus calendars to coordinate meetings, projects and events effectively.
Prepare AORs, project documentation and necessary paperwork to support processes and approvals.
Ensure end-to-end administrative processes including attendance, invitations and documentation, to support the full lifecycle of meetings, projects and events.
Stakeholder Communication & Coordination
Build and maintain effective working relationships with full-time and adjunct faculty within NIEC.
Coordinate meetings, prepare agendas, and follow up on action items.
Engage proactively with internal and external stakeholders to maintain clear, timely and consistent communication.
Content Development & Communications
Prepare professional written materials, including emails, reports, meeting minutes, SOPs and publicity content.
Support the development of communication materials using appropriate design and digital tools.
Data & Resource Management
Maintain and update faculty repositories, information sites and data systems.
Support basic data analysis and reporting where required.
Willingness to adopt new technologies and innovative approaches to create, curate and enhance learning and research resources.
Job Requirements
Diploma or Degree in Early Childhood, Communications, Business Administration, or a related field.
Relevant experience in project administration and stakeholder coordination will be advantageous.
Ability to organise, manage, and analyse data effectively.
Familiarity with the early childhood education sector is beneficial but not required.
Strong organisational, analytical, and problem-solving skills.
Good written and verbal communication skills.
Proficiency in digital tools such as Microsoft Office (Word, Excel, PowerPoint), Outlook, and virtual collaboration platforms (e.g. Zoom, MS Teams).
Familiarity with design and data tools (e.g. Canva, Power BI) is an advantage.
Strong interpersonal and stakeholder management skills.
Ability to work both independently and collaboratively in a team environment.
Good time management and ability to manage multiple priorities.
Adaptable, proactive, and willing to learn.
Detail-oriented with a structured approach to work.
