Job purpose
The Senior Executive, Partnership Development plays an integral role in supporting Arts House Group's (AHG) fundraising, stakeholder engagement and communications efforts across its festivals, programmes and institutional initiatives. This role supports the cultivation and stewardship of corporate sponsors, foundations, individual donors and strategic partners, while contributing to the development of impactful communications that strengthen AHG's visibility, reputation and stakeholder relationships.

Key Responsibilities
Partnership Development & Stakeholder Engagement
- Support the Partnership Development team in identifying, researching and consolidating new corporate, foundation and individual donor prospects to strengthen AHG's fundraising pipeline and long-term patron development strategies.
- Maintain and update stakeholder databases, prospect lists and donor records, ensuring accurate tracking of contact details, engagement history, sponsorship status and partnership opportunities within the donor management system.
- Assist in preparing background research, briefing materials and supporting information for donor meetings, sponsorship proposals, partnership presentations and engagement strategies.
- Support the coordination and implementation of donor stewardship and engagement initiatives, including sponsor activations, networking sessions, appreciation events, behind-the-scenes experiences, hosted performances and cultivation activities.
- Provide administrative and logistical support for fundraising campaigns, donor appeals and partnership initiatives across AHG's various festivals, venues and programmes.
- Monitor online donation platforms and the department's shared email account to ensure timely follow-up on incoming donations, sponsorship enquiries and expressions of interest.
- Assist in consolidating supporting information, budgets, statistics and programme outcomes required for funding proposals, approval papers, sponsorship reports and post-grant submissions.
Event Planning & Engagement Management
- Coordinate the end-to-end planning and execution of donor and stakeholder engagement events, including venue coordination, RSVP management, event timelines, procurement processes and on-site logistics.
- Liaise with internal departments, external vendors, venues, caterers and partners to ensure smooth implementation of engagement activities and events.
- Support event preparation processes including site visits, printing of event collaterals, signage production, seating arrangements, guest management and sourcing of event materials or props.
- Manage invitation tracking, guest list coordination and event registration processes while ensuring a high level of professionalism and hospitality in stakeholder engagement.
- Provide on-site operational support during festivals, performances, donor engagement events, including registration management, guest hosting and troubleshooting when required.
- Assist in documenting engagement events through photography coordination, post-event reports and archival of event materials where necessary.
Partnership Development Administration, Compliance & Financial Coordination
- Support the administration and governance processes related to fundraising and partnership development activities, ensuring compliance with AHG's internal approval procedures and donor management protocols.
- Coordinate and facilitate donor due diligence processes, including the consolidation of background information, completion of donor evaluation checklists and preparation of supporting documentation for internal review and approval.
- Assist in drafting approval papers for incoming donations, sponsorships and partnership proposals for management review and approval.
- Support the preparation and drafting of donor, sponsorship and partnership agreements, including consolidation of agreed benefits, deliverables, acknowledgement arrangements and partnership terms for Director's review and approval.
- Liaise with internal departments including Finance, Programming and Marketing teams to ensure timely processing and coordination of agreements, approvals and operational requirements.
- Raise Purchase Orders (POs) and support procurement-related administrative processes for external vendors, engagement activities and event-related expenditures in accordance with organisational policies and financial procedures.
- Coordinate and process TDR (Transaction Detail Report) and finance-related submissions with the Finance Department, ensuring proper documentation, accuracy and timely follow-up.
- Track departmental expenditures, vendor invoices and supporting financial records to ensure proper reconciliation and documentation for fundraising and engagement activities.
- Maintain proper filing and archival of donor agreements, approval papers, financial records and partnership documentation.
- Support the department with meeting coordination, calendar management, scheduling and minute-taking for internal and external meetings.
- Maintain proper filing, archival and documentation of Partnership Development records, agreements, reports and correspondence.
- Provide logistical and technical support for presentations, meetings and engagement sessions where required.
Communications & Content Development
- Assist in the development donor newsletters, EDMs and invitations.
- Support the management and updating of Partnership Development-related webpages, including donor acknowledgement pages and fundraising campaign pages.
- Monitor EDM and digital communications performance metrics such as open and click-through rates, and support reporting and analysis efforts to improve engagement outcomes.
- Assist in the creation and consolidation of presentation materials, including slide decks, briefing documents, visual references and supporting multimedia content for pitches, meetings and presentations.
- Ensure consistency in branding, tone of voice and visual presentation across donor-facing communications materials and engagement collaterals.
Qualifications
Education
- Degree/ Diploma in Mass Communications, Business Development, Arts Management or any relevant field
- At least 2-3 years of experience in public relations, corporate communications, business development or any relevant field
Skills
- Strong attention to detail, with good organization and planning skills, able to manage multiple tasks and projects simultaneously in a fast-paced environment while consistently delivering high quality work with tight deadlines.
- Excellent written and verbal communication skills, effectively bilingual is an advantage
- Good teamwork, communications and people management skills are essential

- Experience in creating visual assets for print and digital platforms is an advantage, but not mandatory
- Demonstrate comprehensive event management skills through the end-to-end planning and execution of engagement events
