The Role

Executive/Senior Executive, Membership Ops & Admin, SME Partners

Summary of Role

The SME Partners Department works closely with small and medium enterprises (SMEs) to support business sustainability, workforce transformation, and worker outreach. This role provides essential administrative and coordination support to the department, supporting membership operations, engagement activities, reporting, and records management to ensure smooth day‑to‑day operations and effective stakeholder support.

Key Responsibilities

  1. Process NTUC membership applications, including new sign-ups and renewals, ensuring accuracy and timely follow-up.
  2. Support membership recruitment efforts through engagement events, including event registration support, follow-ups, and basic coordination.
  3. Prepare and compile the monthly Company Training Committee (CTC) report for cross-functional stakeholders, ensuring data completeness and accuracy.
  4. Take notes and prepare minutes for department meetings, including post-meeting documentation.
  5. Provide administrative support for the SME People Champions training programmes, including participant registration and liaison with training providers
  6. Scan, file, and upload MOUs, meeting minutes, and related documents into KRIS for proper record management.
  7. Update and maintain partners activities and project records in HubSpot (e.g. CTC projects, OTR activities).
  8. Support the quarterly processing and tracking of C6 bonus points.
  9. Manage stationery supplies and handle incoming and outgoing mail.

Qualifications and Competencies

  • Strong organisational and administrative skills with attention to detail.
  • Comfortable working with digital systems and databases (e.g. CRM platforms, document management systems).
  • Good written and verbal communication skills for coordination and documentation.
  • Basic proficiency in Microsoft Office applications (Word, Excel, Outlook).
  • Ability to manage multiple tasks and work collaboratively in a team environment.
  • Proactive, responsible, and able to work independently with guidance.
  • Willingness to learn and support engagement-related activities as required.
