Job Summary

The Executive Secretary will deliver executive administrative support, manage schedules and meetings, maintain documentation, assist with company secretarial duties, coordinate investment project information, and handle travel and personal arrangements for the Chairman, including overseas travel.

Responsibilities

  • Manage executive schedules and organize meetings to ensure efficient time management and communication flow
  • Maintain accurate documentation and filing systems to support company secretarial functions and contract signing processes
  • Perform clerical tasks including scheduling, filing, and record maintenance to support daily operations
  • Assist in gathering and compiling information on investment projects to facilitate informed decision-making
  • Coordinate the Chairman's travel arrangements, including booking air tickets, hotel reservations, and managing itineraries for domestic and overseas trips
  • Handle the Chairman's personal household matters with discretion and confidentiality
  • Utilize standard office software and tools to prepare correspondence, reports, and presentations
  • Travel overseas for extended stays of 2-3 months and able to go on 1 to 2 business trips annually as required

Preferred competencies and qualifications

  • University degree
  • Experience working in medium-sized enterprises
  • Proficiency in clerical skills such as scheduling, filing, and record maintenance
  • Expertise in executive administrative assistance, including calendar management and correspondence
  • Ability to travel and possession of a valid driving licence
  • Strong communication skills in Chinese and English
