We are seeking a highly resourceful and service-oriented Executive & Personal Assistant to provide seamless, end-to-end support to the Chairman. This is a high-impact role operating within a fast-paced, unstructured environment, requiring strong judgment, discretion, and the ability to anticipate needs proactively.

You will act as a trusted gatekeeper and liaison, managing both business and personal matters, including complex global travel, stakeholder coordination, and confidential communications. This role suits someone experienced in supporting Ultra-High-Net-Worth Individuals (UHNWI) who thrives under pressure and operates independently with minimal direction.

Key Responsibilities

Executive & Administrative Support

  • Manage a highly dynamic and complex calendar across multiple time zones

  • Coordinate meetings, prepare briefing materials, presentations, and reports

  • Draft, review, and manage high-level correspondence on behalf of the Chairman

  • Act as the primary point of contact, triaging and prioritizing communications

Stakeholder & Communication Management

  • Liaise with senior management, board members, clients, and external stakeholders

  • Ensure clear, timely, and accurate communication flow across all parties

  • Exercise strong judgment in managing sensitive and confidential matters

Travel & Logistics (High Complexity)

  • Oversee end-to-end global travel arrangements, including private jet coordination

  • Manage last-minute changes, disruptions, and crisis scenarios across time zones

  • Coordinate logistics for board meetings, events, and international engagements

Personal & Private Office Support

  • Support the Chairman and family with personal matters, including travel and lifestyle management

  • Coordinate overseas property matters and liaise with property managers

  • Manage payments, renewals (e.g., yacht licenses), and related administrative matters

Operations & Project Coordination

  • Maintain organized physical and digital documentation with strict confidentiality

  • Support ad-hoc projects, ensuring timely execution across multiple stakeholders

  • Operate effectively in a non-structured environment without SOPs

Availability & Responsiveness

  • Provide high responsiveness outside standard working hours as required

  • Act as a dependable point of contact during travel or urgent situations

Requirements

  • Minimum 5+ years experience supporting C-suite or UHNWI

  • Proven experience in private office / family office / high-net-worth environments

  • Strong experience handling complex international travel and scheduling

  • Exceptional communication and stakeholder management skills

  • High level of discretion, professionalism, and confidentiality

  • Ability to work independently with minimal structure or guidance

  • Highly adaptable with strong problem-solving capabilities under pressure

  • Proficient in Microsoft Office and scheduling tools
