Job Summary
Reporting to Manager, Infrastructure the Executive shall provide essential administrative, coordination and documentation support to ensure effective facility usage, venue readiness and compliance across FAS-managed venues such as Jalan Besar Stadium (JBS), Geylang Training Centre (GTC) and other assigned facilities.
The role serves as a key liaison with Sport Singapore, Clubs, internal departments and service vendors to manage bookings, approvals, records, procurement documentation and operational submissions in a timely and organised manner.
Job Description
Venue Booking & Coordination
- Liaise with SportSG, Clubs, Competitions Department and internal stakeholders on venue availability, usage requests and booking arrangements
- Manage and maintain confirmed venue bookings across relevant leagues and competitions
- Consolidate confirmed bookings into a Master Venue Calendar and update changes, postponements or amendments accordingly
- Support operational planning through accurate scheduling, visibility and communication
Documentation, Records & Reporting
- Maintain structured records of booking approvals, correspondences, usage data and operational documentation
- Maintain disciplined documentation and filing practices to support policies and operational governance
Procurement & Financial Administration
- Support procurement processes including preparation of PRs/Pos, quotation sourcing, vendor onboarding documentation and compliance with internal procedures
- Maintain accurate filing of invoices, contracts, service reports and financial records
- Track vendor servicing schedules, deliverables and documentation for JBS, GTC Kallang Football Hub (where applicable) and other facilities
Vendor & Stakeholder Liaison Support
- Coordinate with vendors on scheduled maintenance, servicing works, rectification tasks and documentation submissions
- Support communication and coordination between Infrastructure department, SportSG, Clubs and internal stakeholders
- Assist in monitoring vendor performance through proper submission of service reports and documentation
Any other duties as assigned by Manager, Infrastructure
Requirements
- Diploma or Degree in Facilities Management, Sports Management, Project Administration or related discipline
- Prior experience in venue/facilities management, procurement support or liaison with statutory bodies will be an advantage
- Excellent communication and interpersonal skills proactive team player with a high level of initiative
- Strong organisational and multitasking skills with the capacity to work under pressure and meet tight deadlines
- Fast learner and hands-on with a positive attitude
- Enjoys working in a dynamic sports operation environment
- Basic proficiency in MS Office and/or Google Workspace experience with scheduling or shared calendar platforms will be useful
- Flexibility to work evenings, weekends, and matchdays as required
