Job Summary
We are seeking a meticulous and highly communicative Import Documentation Executive to join our team. You will be responsible for managing import documentation and Portnet (Electronic Delivery Order) EDO releases, handling customer enquiries via live chat, and ensuring full compliance with SOPs while supporting smooth operational flow.
Key Responsibilities
- Responsible for documentation for import shipments; supported by offshored shared services centre.
- Coordinating with origin and Sales offices to attend to customer queries and effectively manage their expectations.
- Ensure import queries are carried out with company regulations and procedures.
- Handle Livechat in an adequate and timely manner.
- Handle Portnet EDO release as per standing turnaround time.
- Tracking and updating the status of incoming shipments and coordinating with the customer for timely cargo clearance.
- Managing customer feedback and proactively resolving any documentation-related issues or service failures to meet performance targets.
- Submit MRS to the Singapore Custom per regulatory timeline.
- Maintaining accurate and organized records of all import transactions and supporting internal and external audits related to import compliance.
- Coordinating with the stakeholder to resolve rate disputes raised.
- Other relevant ad-hoc tasks may be required to be rotated, as and when assigned by the reporting supervisor.
Job Requirements
- Diploma in Maritime Studies / Shipping-related disciplines or a related field.
- Minimum 1–3 years of relevant experience in import documentation within shipping lines, freight forwarding, or logistics industry.
- Familiar with import processes, shipping documentation, and Portnet EDO release procedures.
- Strong coordination and communication skills to liaise with internal stakeholders, overseas offices, and customers.
- Ability to manage multiple tasks and work in a fast-paced environment while meeting turnaround timelines.
- Detail-oriented with good organizational skills to maintain accurate documentation and records.
- Self-motivated team player with strong initiative.
- Proficient in MS Office skills as well as Google Suite applications.
