The Singapore Institute of International Affairs (SIIA) is a non-profit, independent think tank focused on researching, analysing, and fostering discussion on regional and international issues. Established in 1962, it is Singapore's oldest think tank and plays a vital role in bridging policymakers, private sector leaders, and experts to shape public dialogue and influence policy decisions. The SIIA is a membership-driven organization, comprising prominent individuals and leading corporations, and is a founding member of the ASEAN-Institutes of Strategic and International Studies (ASEAN-ISIS) network.
Role Description
This is a full-time role based in Singapore, with opportunities for some remote work. The Events and Marketing Executive will support the planning, coordination, and delivery of SIIA's programmes, events, publications, website updates, and marketing communications. The role requires strong organisational skills, attention to detail, and the ability to work across teams and with external vendors to ensure that SIIA's events and public-facing materials are professional, timely, and well-executed.
Key Responsibilities
Events
- Support the planning and delivery of SIIA's programmes and events, including invitations, registration, guest lists, and logistics.
- Work with internal teams to understand event requirements and ensure tasks are completed accurately and on time.
- Source venues and coordinate with vendors on catering, technical setup, printing, and other event needs.
- Support communications with members, partners, speakers, and stakeholders.
- Prepare and coordinate event materials, such as invitations, programme booklets, table menus, name cards, signage, and other collaterals.
- Provide on-site support during events, including registration, guest management, and vendor coordination.
Publications
- Coordinate with the Policy Research team, designers, and vendors to produce publications including event highlights, research and annual reports.
- Manage publication timelines, design options, layout, proofreading, revisions, approvals, and final delivery.
- Liaise with designers and printers on quotations, production, and delivery.
- Upload final reports and publications to the website and prepare QR codes where needed.
- Support the promotion of reports, publications, and events through social media and marketing materials.
Website Management
- Update SIIA's main website and event microsites to ensure information is accurate and current.
- Publish website content, including reports, event pages, speaker profiles, programmes, registration links, and organisational updates.
- Coordinate with website vendors to ensure the website runs smoothly and securely.
- Update event microsites with banners, registration links, programmes, speaker information, and partner logos.
Qualifications
- Diploma or degree in Marketing, Communications, Events Management, Business, International Relations, or a related discipline.
- 1 to 2 years of relevant experience in events, marketing, communications, or stakeholder engagement. Fresh graduates with strong internships or relevant project experience may also be considered.
- Strong organisational and project coordination skills, with the ability to manage timelines, logistics, and multiple priorities effectively.
- Good written and verbal communication skills, with a strong eye for detail.
- Proactive, resourceful, and able to work independently as well as collaboratively across teams.
- Comfortable liaising with internal stakeholders, external vendors, members, partners, and event participants.
- Experience supporting corporate events, conferences, seminars, roundtables, or stakeholder engagement activities would be an advantage.
- Familiarity with email marketing platforms, CRM systems, website content management systems, and social media platforms would be useful.
- Strong knowledge of design tools such as Canva, Adobe Photoshop, or Adobe Illustrator would be an advantage.
- Proficient in Microsoft Office applications, particularly Word, Excel, PowerPoint, and Outlook.
- Interest in international affairs, public policy, sustainability, ASEAN, or regional issues would be an advantage.
