Job Description

Stroke Support Station (S3) is a Singapore-based non-profit with a big heart and an even bigger mission: to help stroke survivors and their caregivers live fuller, more empowered lives.

We do this through holistic, person-centred programmes that support rehabilitation, build confidence, and strengthen community reintegration. From wellness and specialised activities to caregiver support and advocacy, S3 brings together healthcare professionals, partners, volunteers, and the wider community to walk alongside survivors throughout their recovery journey.

What You'll Do:

1. IT Systems Administration

  • Administer and maintain organisational IT systems including Microsoft 365, endpoint devices, and digital productivity platforms.
  • Manage user accounts, system access permissions, and device provisioning across organisational systems.
  • Provide technical troubleshooting and support to staff, including system access, device issues, and application-related problems.
  • Maintain documentation and inventories relating to organisational IT systems, devices, and software.

2. Digital Systems Implementation & Improvement

  • Support the evaluation, planning, and rollout of organisational systems including clinical systems, operational platforms, and workflow tools.
  • Translate operational requirements into system configurations and digital workflows.
  • Coordinate system trials, vendor demonstrations, user testing, and implementation activities.
  • Support system setup, data migration, and post-implementation improvements.
  • Document system processes and operational procedures for internal use.

3. Project Management and Digitalisation Initiatives

  • Manage multiple IT or digitalisation projects concurrently.
  • Develop project timelines, implementation plans, and task tracking.
  • Coordinate internal stakeholders and vendors to ensure project deliverables are achieved.
  • Track implementation progress, dependencies, and risks.
  • Prepare project documentation, updates, and reports for management review.
  • Support system optimisation and improvements following implementation.

4. Vendor and Procurement Coordination

  • Coordinate with technology vendors and service providers on system implementation, upgrades, and issue resolution.
  • Support vendor evaluation, quotations, and comparison of solutions.
  • Prepare procurement documentation including purchase requests, vendor justifications, and tender submissions where required.
  • Support grant-supported digital initiatives by preparing documentation and justification for system purchases or implementations.

5. Cybersecurity and Data Protection Support

  • Support the implementation of cybersecurity practices, policies, and awareness initiatives within the organisation.
  • Maintain inventories of IT assets and support cybersecurity compliance activities.

6. Data and Analytics Support

  • Support organisational data initiatives including development of dashboards and reporting workflows.
  • Build or maintain data pipelines, templates, and reporting structures used for operational and management reporting.
  • Work with internal stakeholders to improve data accuracy, reporting consistency, and system usability.
  • Support the organisation's use of analytics tools to improve visibility of service and operational data.

7. Organisational Governance Support

  • Assist S3's Management in maintaining documentation related to technology governance, enterprise risk, and business continuity planning.
  • Support knowledge management and documentation relating to organisational systems and operational procedures.
  • Contribute technical insights to support organisational planning and digital improvement initiatives.

Who Are You:

  • An IT lover with a Bachelor's degree in Information Technology, Information Systems, Computer Science, or a related field.
  • At least 1 years of relevant experience in digital administration, systems implementation, digital project coordination, or related roles.
  • Experience supporting organisational digital systems, coordinating vendors, and implementing technology solutions will be an advantage.
  • Working knowledge of Microsoft 365 administration and endpoint device management.
  • Ability to manage multiple projects and operational tasks concurrently.
  • Good analytical and problem-solving skills in troubleshooting systems and improving workflows.
  • Strong documentation and organisational skills.
  • Ability to translate operational needs into practical technology solutions.
  • Good communication and stakeholder coordination skills.
  • Basic understanding of cybersecurity and data protection practices.
  • Comfortable working both independently and collaboratively with internal teams and external vendors.
