BELLS is looking for a meticulous and proactive Executive to help keep our operations organised, responsive, and audit-ready.
You'll support day-to-day admin coordination, manage shared inbox follow-ups, maintain trackers and records, and assist the Manager in preparing documents for submissions and audits.
Roles & Responsibilities (More Administrative)
Provide administrative support to ensure smooth daily operations and proper documentation flow
Check and manage the shared enquiries inbox daily, ensuring emails are acknowledged, routed, and tracked
Route enquiries and learner feedback to the correct departments and follow up until closure
Maintain organised filing and document control (e.g., folders, naming, version control, checklists, trackers)
Assist the Manager with audit admin support by preparing and maintaining: Audit folders and evidence files Audit checklists and trackers Submission logs and due date monitoring
Track audit queries and deadlines, and coordinate document collection from internal teams
Record and track follow-up actions after audits and file closure evidence properly
Update simple trackers to spot recurring admin/document gaps (missing items, repeated errors, late submissions)
Escalate urgent or high-impact issues to the Manager early
Support other admin tasks assigned by Management to maintain operational readiness
Preferred Competencies & Qualifications
Fresh graduates welcome - training will be provided
Proficient in MS Office (Excel, Word, Outlook) Google Workspace is an advantage
Strong coordination skills and comfortable following up with multiple departments
Organised, detail-oriented, and consistent with documentation work
Able to learn quickly and follow SOPs accurately
Able to work independently, manage timelines, and meet deadlines
