Executive Assistant to CEO (Finance & Strategic Support)
This role plays a critical part in enabling the CEO's focus and effectiveness by reinforcing disciplined execution and governance across financial and operational matters.
Ideal for someone who is detail-oriented, proactive, and process-driven, the position supports the tracking of priorities, completion of key tasks, and organisation of important documentation.
Acting as a trusted operational support to the CEO, the role helps ensure audit-ready records, timely follow-through, and a well-managed flow of daily activities and communications.
Key Responsibilities
CEO Support & Prioritisation
- Provide high-level executive support to the CEO
- Help prioritise and organise emails, messages, and documents
- Highlight urgent, sensitive, or decision-critical matters
- Prepare clear executive CEO summaries and briefing notes to support decision-making
- Assist in managing the CEO's schedule and flow of communications professionally
Coordination & Follow-Up
- Support the tracking of key instructions and priorities across departments
- Maintain a central action and deadline tracker
- Follow up with Heads of Department to support timely completion of tasks
- Surface potential delays or execution gaps early for alignment and resolution
- Help ensure tasks move forward smoothly without unnecessary escalation
Documentation & Process Support
- Assist in maintaining SOPs, trackers, and operational checklists
- Support the consistent use of internal reporting and issue-tracking tools
- Help monitor recurring issues and flag opportunities for process improvement
- Ensure documents are well-organised, properly filed, and up to date
Cross-Functional Liaison
- Act as a coordination point between the CEO and internal teams
- Help clarify instructions and expectations across departments
- Support alignment and collaboration across deparments (e.g. Operations, Sales, Kitchen, HR, and Finance, etc)
- Contribute to smooth cross-functional execution
Office Standards & Workflow Support
- Support a professional, organised, and well-run office environment (execution of SOPs)
- Help uphold documentation, communication, and workflow standards
- Encourage good office practices and structured ways of working
Confidentiality & Professionalism
- Handle sensitive information with care and discretion
- Maintain confidentiality and professionalism at all times
- Operate with integrity, neutrality, and respect
- Build trust through reliable and ethical conduct
Qualifications & Skills
- Strong working knowledge of accounts, invoicing, payment workflows, and financial documentation.
- Experience as an EA/Finance Executive/Operations Coordinator is an advantage.
- Excellent communication skills - clear, professional, and concise.
- Highly organised with exceptional attention to detail.
- Proficient in Microsoft Office, Google Workspace, and basic accounting software.
- Able to manage deadlines, multitask, and perform well under pressure.
- High integrity, discretion, and reliability.
- Valid Class 3/3A licence preferred (for occasional CEO driving duties).
