The Role: More Than Just Support
As Executive Assistant to the Managing Director, you will play a critical role in ensuring the smooth execution of both business and personal operations. Beyond traditional administrative support, this role provides unique exposure to strategic decision-making, investment activities and executive-level operations. You will serve as a key coordination point between the Managing Director, internal teams, external advisors and household staff, ensuring that priorities are managed efficiently and confidentially. This role involves a blend of executive support, operational coordination, householdadministration and travel management, making it ideal for individuals who are highly organised, adaptable and eager to grow within a sophisticated privateoffice environment.
Key Responsibilities
Executive & Administrative Support
- Manage the schedules, communications and administrative requirements of the Managing Director, including drafting, preparing and managing emails and business correspondence on his behalf
- Coordinate calendars, meetings and appointments, ensuring efficient scheduling and prioritisation
- Prepare meeting materials, reports and briefing notes to support the Managing Director prior to meetings
- Take minutes during meetings and ensure appropriate follow-up actions are tracked and executed
- Conduct research and compile information to support decision-making and business initiatives.
- Liaise with internal teams and external stakeholders including finance, legal and operational partners
Travel & Concierge Management
- Manage all travel arrangements and reservations, including flights, hotels, dining, land transfers and other logistics.
- Coordinate visa applications, travel documentation and itineraries
- Provide concierge support when the Managing Director travels, including coordination across different time zones
- Maintain records of travel credits, open tickets, memberships and preferred vendors, hotels and restaurants
- Liaise with service providers to gather trip expenses and prepare travel reports for management review
- May be required to travel occasionally to assist with errands and coordination during trips
Household & Personal Administration
- Manage household administrative matters, including banking, payments and record keeping
- Coordinate and oversee household staff, including maids, drivers and cooks where applicable
- Coordinate with internal teams and external service providers on household maintenance, vehicle servicing and transportation arrangements
- Handle mail management, deliveries and courier arrangements
- Assist with the organisation of celebrations, events and personal engagements
Operational & Business Support
- Assist with execution of business initiatives and investment-related operational tasks
- Support the Managing Director with documentation, coordination and administrative follow-up for business matters
- Liaise with various teams and service providers to consolidate information and prepare reports for management review
- Provide general administrative support and assist with ad-hoc business requirements from time to time
Who You Are
- A driven and trustworthy professional with 3-5 years of experience, preferably supporting senior executives in family offices, private banking, finance, consulting, or corporate environments
- Excellent written and verbal communication skills with a high level of tact and discretion
- Able to handle sensitive information professionally and maintain complete confidentiality
- Strong organisational, multitasking and problem-solving abilities
- A proactive team player with strong interpersonal skills and the ability to work independently
- Highly adaptable and capable of managing a varied and fluid job scope
- Meticulous, organised, resourceful and process-driven
- Tech-savvy, with proficiency in MS Office and collaboration tools
- Valid driving license preferred
