Job Description

We are seeking a highly capable Executive Personal Assistant to provide dedicated professional and personal support to our CEO / Managing Director across multiple business interests.

This is a high-trust, high-ownership role for someone who is exceptionally organised, meticulous, resourceful and proactive. The successful candidate will work closely with the CEO / Managing Director in a fast-paced, international environment and play an important role in ensuring that priorities, engagements, travel and follow-ups are managed effectively.

We are looking for someone who thinks ahead, exercises sound judgement, takes ownership and follows through reliably.

Key Responsibilities
  • Manage a complex calendar, meetings, appointments and priorities.
  • Provide executive support during international business travel when required, including coordination of schedules, meetings, logistics and on-the-ground arrangements.
  • Conduct research and fact-finding across a broad range of topics as required, and distil findings into concise, accurate and useful summaries.
  • Track decisions, commitments and follow-up items to ensure timely completion.
  • Manage correspondence and assist with drafting communications where required.
  • Handle confidential and sensitive information with a high level of discretion.
  • Provide broader executive and administrative support as reasonably required.
Candidate Profile
  • Relevant professional experience in executive support or transferable backgrounds such as hospitality, premium service or other client-facing industries is preferred. Prior EA/PA experience is advantageous but not essential.
  • Candidates with 5 or more years of relevant professional experience are particularly welcome. Exceptional fresh graduates are also encouraged to apply if they demonstrate strong initiative, ambition, drive, learning agility and a genuine desire to grow in a high-responsibility role.
  • Exceptional attention to detail and strong organisational skills, with the ability to manage multiple priorities and remain composed in a fast-moving environment.
  • Strong judgement, initiative and resourcefulness, with a proactive approach to anticipating needs, solving problems and following through.
  • Highly trustworthy and discreet, with a strong sense of ownership and responsibility when handling confidential and sensitive matters.
  • Strong interpersonal and communication skills, with the ability to engage professionally with senior executives and stakeholders from different cultures and backgrounds.
  • Able to work independently, take ownership and adapt effectively as priorities change.
  • Comfortable using modern technology, productivity platforms and AI-assisted research tools, with the ability to verify important information and sources.
  • Willing and able to undertake international business travel, including occasional travel at relatively short notice, and comfortable with occasional requirements outside standard business hours, particularly during overseas travel and major engagements.
  • A valid driving licence and ability to drive would be advantageous.
Academic Qualifications

No specific academic qualification is required.

Candidates will be assessed based on their relevant experience, skills, capabilities and suitability for the role, rather than formal academic credentials.

Language Requirements
  • Excellent command of English, both written and spoken.
  • Strong professional proficiency in either Mandarin or Japanese, both written and spoken, is required, as the role involves regular communication, correspondence and research involving Mandarin- or Japanese-speaking partners.
  • Proficiency in both Mandarin and Japanese, or an additional Asian language, would be advantageous, given the regional nature of the role.
