Job Description
My client is a mid-sized Data Center operator with presence in multiple countries within APAC.
They are seeking an experienced Executive Assistant & Office Manager to provide dedicated support to the CEO while overseeing the day-to-day administration of the Singapore office.
This role is ideal for someone who pays attention to detail, exercises discretion and possesses a proactive approach to ensure that the CEO is well supported, organised, and able to focus on business priorities.
Responsibilities
- Manage the CEO's calendar, meetings, travel arrangements, and day-to-day administrative needs.
- Prepare meeting materials, presentations, and correspondence.
- Coordinate meetings, visitors, and travel logistics.
- Ensure timely follow-up on schedules and reminders to CEO.
- Handle confidential information with professionalism and discretion.
- Manage office facilities, supplies, vendors, and workplace services.
- Keep the office safe, organised, and running smoothly.
- Organise office events, employee engagement activities, and CSR initiatives.
- Support company-wide meetings and office events from an administrative and logistical perspective.
- Work closely with internal teams and external service providers (building management, vendors, cleaners, etc.) to ensure efficient office operations.
- Manage office budgets and administrative purchases within approved limits.
- Process office invoices and support expense administration.
Qualifications
- Diploma or Bachelor's degree, or equivalent work experience.
- At least 5 years experience as an Executive Assistant supporting a senior executive.
- Experience in office administration or office management is preferred.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, Teams).
- Able to work independently and a team player at the same time, manage multiple priorities, and maintain confidentiality.
