Executive Calendar Management: Proactively coordinate and manage complex calendars, prioritizing appointments, meetings, and events to ensure optimal time management for C-Suite executives.
Travel Coordination: Organize and manage all aspects of domestic and international travel, including flight bookings, hotel accommodations, transportation, itineraries, and visa arrangements where necessary.
Meeting Support: Schedule, organize, and attend internal and external meetings. Prepare detailed agendas and take accurate minutes when required. Ensure timely communication and follow-up on action items.
Client Hospitality & Dining Coordination: Handle executive dining arrangements and client meeting logistics, including researching and booking restaurants, managing reservations, and accommodating last-minute changes.
Document Preparation & Review: Draft, proofread, and edit a range of business documents, including reports, presentations, correspondence, contracts, and speeches with a strong attention to detail.
Stakeholder Liaison: Act as a key point of contact on behalf of the executives, maintaining effective communication with internal departments and external partners.
General Support: Provide comprehensive administrative and occasional personal assistance, including running ad hoc errands and fulfilling special requests as needed.
Key Requirements
Experienced in business administration. Prior experience in multinational or fast-paced work environments.
Good communication and organizational skills, able to coordinate with various stakeholders professionally.
Uphold the highest level of discretion, confidentiality, and professionalism in all interactions and administrative tasks.
Excellent problem-solving skills.
