This is a 12-months contract role.
Responsibilities
Manage complex executive calendars, including scheduling across multiple time zones, prioritizing competing demands, and coordinating internal and external meetings with senior stakeholders.
Handle end-to-end travel management for senior leadership, including multi-leg international itineraries, flight bookings, accommodation, ground transportation, and preparation of detailed travel plans.
Coordinate executive visits, leadership offsites, and business events, including venue sourcing, supplier engagement, catering arrangements, and on-site logistics.
Manage expense submissions and financial administration on behalf of senior leaders, ensuring timely and accurate processing through corporate expense platforms.
Liaise with internal teams, regional stakeholders, and external vendors to support business operations and ensure smooth coordination across functions and markets.
Anticipate executive needs, track action items independently, and ensure tasks are completed accurately and on time without frequent follow-up.
Maintain administrative documentation and provide general operational support as required.
Requirements
8+ years of experience in an Executive Assistant or senior administrative role supporting senior leadership or C-suite executives. Experience supporting stakeholders across different timezones will be a plus.
Experience in a technology or multinational corporate environment is preferred.
Proven ability to manage complex calendars, executive travel, and high-volume coordination activities.
Strong organizational skills with excellent attention to detail and follow-through.
Experience coordinating executive visits and managing external vendors or suppliers.
Familiarity with modern workplace productivity tools (e.g., Outlook, Teams, SharePoint or equivalent collaboration platforms).
