Job Description

Join our dynamic team as an Executive Assistant and be the cornerstone of executive success! We're seeking a detail-oriented professional to provide crucial support to our senior leadership team.

What will you do

  • Calendar management:
    • Provide support to senior leadership including coordination of team meetings, meetings agenda and notes, business trips and expense claims, internal/external events or trainings
    • Managing calendar for meeting rooms / venues booking, minutes taking as necessary, monitoring and follow through schedules
    • Liaise with the customers and vendors in respect of meeting schedules and production of timely and accurate reports
  • Administrative coordination & support:
    • Managing workflow and monitoring invoices, Purchase Orders, distribution lists, expense claims
    • Provide admin support for new hires and exiting employees include arranging IT essential, access and onboarding/offboarding arrangements
    • Coordination of travel and hotel arrangements for local as well as oversea visitors.
  • Project coordination/ management:
    • Gather, assemble and analyze information and data from various sources in response to the team's initiatives/meetings; assist in the preparation of related reports/presentation materials for meetings to ensure that information is timely and accurate
    • Adhoc projects - linked to market research and analysis , making presentations for meetings .
  • Team coordination:
    • Serve as a primary contact and authoritative information source on the team's activities and to respond to internal and external inquiries; all other ad-hoc support as needed by the leaders and the team.
    • Interact with team members to pro-actively offer assistance and solutions
    • Be a team player to contribute best knowledge sharing, creative idea generation and willingness to take decision

What will make you successful

  • Bachelor/Diploma in Business Administration or equivalent
  • At least 5 years of relevant experience in supporting executives/ senior leaders within multinational organisation and had dealt with coordination of different time zone meetings
  • Digital & Analytical Skills: Strong digital literacy, ability to leverage technology for productivity, and interpret data for informed decision-making.
  • Growth Mindset & Learning: Passion for continuous learning, adaptability to change, and proactive upskilling in a dynamic environment.
  • Professionalism & Communication: High integrity in handling confidential information, excellent time management & organizational skills, and strong communication across all levels.
  • Customer Orientation & Initiative: Self-starter with attention to detail, customer-focused approach, and ability to thrive in a fast-paced, matrix environment
