Role Overview

The Executive Assistant will provide high-level administrative and strategic support to the practice areas and partners, playing a key role in ensuring the smooth operation of daily activities and long-term initiatives. This role requires a highly organized, discreet, and proactive professional who can manage a wide range of responsibilities with precision, confidentiality, and adaptability.

The Executive Assistant will serve as a trusted liaison between the Partner and internal/external stakeholders, including clients, and senior leadership. The ideal candidate will be tech-savvy, detail-oriented, and capable of anticipating needs in a fast-paced legal environment.

Key Responsibilities

1. Executive Support

  • Provide comprehensive executive support to the practice areas and Partners, including calendar management, meeting scheduling, travel arrangements, and correspondence handling.
  • Prepare and review documents, presentations, and reports for internal and client meetings, ensuring accuracy and professional presentation.
  • Coordinate and facilitate follow-ups on action points from meetings and ensure timely progress.

2. Strategic and Operational Coordination

  • Collaborate with the Partner to drive key initiatives, manage project timelines, and ensure alignment with organizational objectives.
  • Act as a point of contact and representative of the Partner for inter-departmental coordination, partner inquiries, and client relations.
  • Assist in developing, implementing, and monitoring office policies and procedures to enhance operational efficiency.

3. Communications and Stakeholder Engagement

  • Serve as a liaison between the Partner and internal/external stakeholders, maintaining strong professional relationships.
  • Draft, proofread, and distribute communications on behalf of the Partner to clients, and other stakeholders as needed.
  • Assist in the planning and organization of high-level events, meetings, and engagements, ensuring seamless execution.

4. Project Management and Reporting

  • Oversee special projects and initiatives led by the Partner, managing timelines, deliverables, and stakeholder involvement.
  • Conduct research, compile information, and generate analytical reports to support strategic decision-making.
  • Monitor and report on key performance indicators, highlighting areas of improvement and achievement.

5. Administrative Oversight and Compliance

  • Manage confidential and sensitive information related to firm matters and personnel, ensuring strict compliance with data protection policies.
  • Support compliance with internal and external regulatory requirements, including file management, KYC checks, and audit preparation.
  • Coordinate with internal departments to support financial, legal, and HR functions as required by the Partner.

Qualifications & Experience

. Bachelor's degree in Business Administration, Law, or a related field. A Master's degree or legal background is an added advantage.

. Minimum of 5 years experience in an executive assistant, legal secretary, or senior administrative role within a law firm or professional services environment.

. Exceptional organizational and project management skills, with a proven ability to manage multiple priorities in a fast-paced, high-stakes environment.

. Strong written and verbal communication skills, with meticulous attention to detail and proficiency in drafting, editing, and formatting professional documents.

. Demonstrated ability to handle sensitive and confidential information with the highest level of discretion and professionalism.

. Proficient in office management software (e.g., Microsoft Office Suite, document management systems) and familiar with legal industry tools.

. AI-ready: Comfortable using AI-powered productivity tools (e.g., smart scheduling assistants, automated transcription, document summarization, and workflow automation platforms) to enhance efficiency, accuracy, and responsiveness.
