The opportunity
Based in Singapore and reporting to our Senior Client Partners, you'll join a growing team as an Executive Assistant / Project Coordinator, playing an important role on key CEO, Board and executive leadership assignments for top listed, private equity and unlisted organisations.
This is a role with genuine breadth — you'll coordinate and manage the opportunities and engagements being executed by your Senior Client Partners, monitoring process, assuring completion of internal and external documentation, and maintaining our core systems (Searcher, Salesforce and PSA).
What you'll do
- Liaise extensively with clients throughout the search process — in writing, by phone and in person — building rapport quickly with senior executives and their support teams
- Maintain the strictest confidentiality with sensitive client and candidate information
- Draft proposals, position specifications and candidate resumes alongside consultants and fellow EAs
- Prepare and edit pitch decks and proposals in PowerPoint
- Schedule, organise and log candidate meetings; coordinate domestic and international travel and interview schedules
- Manage Partner calendars, inboxes and a high volume of calls from clients, candidates and business development contacts
- Review and approve monthly client billing, monitor accounts receivable, and submit expense reports via Concur
- Support business development through research on companies, individuals and industries
What you'll bring
- Five plus years supporting leaders and senior professionals within a professional services environment
- Degree-level education or equivalent qualifications / demonstrable EA and administration experience
- Excellent PowerPoint skills and high proficiency across Microsoft Office (Outlook, Word, Excel)
- Excellent written and verbal communication, with the confidence to engage at all levels inside and outside the firm
- Strong customer focus, resilience and the ability to handle ad hoc conversations and fast-changing situations
- Highly organised, proactive, self-motivated and comfortable working without direct supervision
