What you will do:
As Executive Assistant, you will be responsible for Provides secretarial services to a C-suite executive or business group president including arranging travel, scheduling appointments, recording meeting minutes, and general office administration. May be responsible for working with confidential and sensitive information.
How you will do it:
SECRETARIAL SUPPORT
- Provide full secretarial and administrative support to a number of Functional Vice Presidents
- Prepare, organize and coordinate all presentations / conferences / meetings / townhalls / events
- Manage schedule and ensure that all appointments / meetings are timely and notified
- Support in preparation of meeting agendas and presentation materials
- Coordinate and oversee all travel arrangements (flights, hotel, transport, dining), expenses claims, etc.
- Maintain electronic filing and archive system
- Follow up on all matters timely and professionally with regards to the communication and coordination of all meetings with internal and external parties
- Ensure confidentiality of information when handling confidential documents
- Ad hoc tasks as and when assigned
What we look for:
- Diploma or Degree in Business Administration or a related field
- 5 years relevant working experience with senior management or C-suite executives
- Meticulous, strong sense of responsibility and pro-active
- Able to multi-task, organized and prioritize with a sense of urgency
- Experience in events management would be preferred
- Strong know-how of complex travel arrangements
- Prior experience in a multi-entity corporate environment is preferred
- Strong organisational and time management skills
- Excellent verbal and written communication abilities
- Prove experience handling sensitive information at high level of discretion
