SCOPE OF WORK
- The Executive Assistant will provide full-spectrum administrative and secretarial support to ensure smooth and efficient day-to-day operations of the office.
- Manage and coordinate calendars, appointments, meetings, and travel arrangements
- Organise and support meetings, special projects, task forces, and initiatives as directed
- Provide secretariat support, including minute-taking, data gathering, report preparation, and presentation slide development for meetings
- Assist in the preparation, collation, and presentation of management reports/ debriefs for easy reference, ensuring clarity, accuracy, and conciseness
- Check and process reimbursement claims, payments for corporate credit cards, international calls, and other related expenses
- Act as a liaison between internal and external stakeholders, fostering productive and professional working relationships
- Support administrative functions including budget monitoring, asset management, and oversight of physical spaces
- Provide event management support when required
- Handle confidential and sensitive information with the highest level of discretion and professionalism
REQUIREMENTS
- Bachelor's Degree/ Diploma with at least 5 years of relevant work experience
- Budget management and financial tracking skills
- Knows how to use digital collaboration and organisational tools
- Experience in providing secretarial/administrative support to senior management
- Proficient in Microsoft Office applications
- Strong record-keeping skills, with the ability to capture and maintain accurate data for proper documentation
- Strong verbal and written communication skills
- High level of integrity and discretion in handling confidential and sensitive information
- Meticulous, detail-oriented, and well-organised, able to multi-task and work efficiently in fast-paced environment
- Strong problem-solving abilities with a proactive mindset
