Job Description

Under the authority of the Defense Attaché, the executive assistant contributes to the activities of the Defense Mission (MDD).

MAIN ACTIVITIES :

  • Administration : secretarial duties, archiving, drafting summaries, communicating with local authorities and partners, managing incoming/outgoing emails and mail, managing the Attachés calendars, and managing driver schedules and meeting rooms.
  • Event Logistics : participating in the logistical organization of official events and visits (naval port calls and air stopovers of French military units, receptions, seminars, round tables, defense exhibitions, visits from high-ranking officials and VIPs, ceremonies), visitor access, reception, and potential escorting.
  • Diplomatic Clearances : processing diplomatic clearance requests for French military aircraft overflights and French naval vessel port calls.
  • Defense Procurement Procedures : processing specific procedures for the Directorate General of Armaments (DGA) regarding visits, security, transport, and monitoring of official documents.
  • Business Travel : organizing professional travel (booking flights, hotel rooms, and taxis requesting meetings) and drafting expense reports for reimbursements.
  • Translation : translating official correspondence into French and English.
  • Coordination : coordinating with various Embassy departments.
  • HR Support : assisting with the recruitment process for civilian interns.

  • Language Proficiency: Essential mastery of French (C2 level) and English (minimum B2 level). Proficiency in another official language of Singapore is an asset (Mandarin, Malay, Tamil).
  • Very good command of office automation tools (Microsoft Office)
  • At least 1-2 years of work experience in related fields

WORKING CONDITIONS :

  • Start Date : Position to be filled on July 22, 2026.
  • Permanent contract under Singaporean law with a probationary period.
  • Hours: 38 hours 30 minutes per week.
  • Paid Leave: 24 days per year + Singaporean public holidays.
  • Benefits: Health insurance, 13th-month bonus, retirement fund.
  • Salary: 4,415 SGD / month
