Job Description

My client is a venture‑backed, growth‑stage life sciences organisation operating internationally, with a lean team and a strong focus on building scalable operations to support its expanding footprint.

They are currently looking for a hands‑on Executive Assistant / Office Manager to support senior leadership and oversee day‑to‑day administrative and operational activities.

This role sits at the intersection of executive support and business operations, and will suit someone comfortable working closely with senior stakeholders while also owning core office and operational processes.

Responsibilities:

. Provide high‑level executive support to senior leadership, including complex calendar management and coordination across different time zones.

. Coordinate leadership, board, and external stakeholder meetings, including agendas, logistics, follow‑ups, and action tracking.

. Manage travel arrangements, expenses, documentation, approvals, and signature routing.

. Support general business operations, including vendor coordination, contracts administration, purchase orders, invoice routing, and approval workflows.

. Maintain organised records of key documents, contracts, approvals, and administrative files.

. Support hiring and onboarding logistics, including interview scheduling and new joiner coordination.

. Assist with office and facilities coordination where required, including supplies, vendors, and local operational matters.

. Handle confidential company, leadership, and stakeholder information with a high level of discretion.

. Perform ad‑hoc duties assigned by management.

Requirements:

. Minimum 5 years of experience in executive support, office management, operations, or similar roles.

. Prior experience supporting senior executives or leadership teams.

. Comfortable working with international stakeholders across different time zones.

. Strong organisational, prioritisation, and attention‑to‑detail skills.

. Able to manage multiple stakeholders and shifting priorities in a fast‑paced environment.

. Proficient in Microsoft Office and/or Google Workspace, video conferencing tools, and shared document platforms.

. High level of professionalism, judgment, and confidentiality.

. Experience in a startup, technology, healthcare, or technical environment would be advantageous, but not essential.
