Job Summary

We are seeking a dedicated and reliable Executive Assistant to provide full support to the Chief Investment Officer (CIO) of a private family office. This role requires a candidate with a financial background who is able to understand investment-related matters and assist the CIO with day-to-day coordination, reporting support, and ad-hoc responsibilities. The ideal candidate is organized, proactive, discreet, and comfortable working in a fast-paced and confidential environment.

Responsibilities

  • Manage the CIO's calendar and coordinate meetings to optimize time and priorities
  • Arrange travel, appointments, and external meetings to ensure seamless logistics
  • Prepare investment reports, presentation materials, and meeting documents to support informed decision-making
  • Liaise effectively with banks, fund managers, and external advisors to facilitate communication and collaboration
  • Organize and maintain financial and investment-related documentation for easy retrieval and compliance
  • Track follow-ups and monitor action items to ensure timely completion of tasks
  • Handle confidential information with professionalism and discretion to maintain trust and security
  • Support the CIO on ad-hoc tasks and special projects, demonstrating flexibility and problem-solving skills

Required competencies and certifications

  • Diploma or Bachelor's degree in Finance, Accounting, Business, or related field
  • Minimum 3-5 years of experience in financial services, asset management, private banking, or similar environment
  • Basic understanding of investment and financial terminology to accurately support CIO activities
  • Proficiency in Microsoft Excel, Word, and PowerPoint to prepare reports and presentations
  • Proficient in Mandarin to liaise with Mandarin-speaking stakeholders
