We are seeking highly organised and proactive individuals to part of a team of Executive/Personal Assistants (under the supervision of the Head of Chairman's Office) to provide comprehensive support to our executive Chairman.
This role is ideal for professionals who thrive in a fast-paced corporate environment, possesses excellent communication skills, and can maintain absolute confidentiality and discretion in handling sensitive matters.
Key Responsibilities
- Manage and coordinate the Chairman's daily schedule, appointments and meetings (both work and social events).
- Coordinating the logistics of the Chairman's meetings and his guests (booking of meeting rooms, arranging for catering, restaurant reservations, confirmation of guests attendances etc)
- Prepare meeting materials, minutes, and follow-up actions.
- Handle the Chairman's correspondence, including calls, emails, and confidential documents.
- Plan and manage complex travel arrangements of the Chairman (and on occasion, that of his family members), travel itineraries and expense reports
- Liaise with internal teams, clients, and business partners.
- Support the Chairman in project tracking, reporting, and research activities.
- Sorting, recording and settling the Chairman's business claims and personal expenses.
- Organise corporate events, offsite meetings, and executive functions.
- Maintain efficient document and file management systems.
- Exercise discretion and professionalism in all communications and decisions.
Requirements
- A Diploma or Bachelor's Degree in Business Administration, Management or a related field is preferred; however, this requirement may be offset if the candidate can show that they possess the necessary experience and/or skill set for the job.
- Minimum 3–5 years of experience supporting senior management or C-suite executives.
- Strong proficiency in Microsoft Office applications (Outlook, Excel, PowerPoint, Word) and collaboration tools (e.g., Teams, Google Workspace).
- Excellent written and verbal communication skills. A working proficiency in Mandarin will be well regarded although not mandatory
- Exceptional organisational and multitasking abilities with strong attention to detail.
