Job Description

The Client

The Client is an established Hong Kong based business solutions consulting firm. They are setting up a new office, a branch in Singapore.

They are hiring an Executive Assistant to support 2 Hong Kong Directors in Singapore.

The Responsibilities

As the pioneer team member in Singapore, your role consists of client reception & itinerary planning for HongKong (HK) government funding projects. You will receive HK corporate clients visiting Singapore. As a support staff, you will arrange hotel, transport, exhibition visits, photo/video sessions. You will coordinate 3 to 5-dayitineraries and ensure smooth execution. You will handle administration & documentation, prepare company profiles, business plans, proposals, minutes, reports, organise files and follow up on project progress.

You will be required as a New Business Support for power bank rental project. You will arrange meetings with partners, follow up contracts, documents, and data. You will assist boss with supplier communication, orders, logistics. You will schedule meetings & travel arrangements and registrations, events.

You will handle basic finance support such as organisation of invoices, claims, payment documents, assist with simple finance administration. You will also assist in family relocation support (initial stage), school application documents, housing arrangements and liaise with service providers. At the initial stage of setting up, you should be reachable on weekends.

The Requirements

You should have a Diploma holder with minimum 3 years of Executive Assistant experience. You should have excellent MS Office suite skills and adept to technology. You should have excellent administration, documentation, meeting coordination skills, and organisation skills. You should be able to liaise with clients, partners and suppliers. Organised with excellent execution and able to multitask, You should be reliable, honest, with good stress tolerance and resourceful. You should appear professional with reception etiquette. You should be to travel on short notice within Asia with flexible working style. You should have excellent work track record.

Softskills

You should have excellent communication skills who is effective in English and Asian languages that are communicated in North Asia while managing the stakeholders. You should be able to read, write and speak the languages. You will be able to work independently and in teams, self-motivated.
