Job Description

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant / Personal Assistant to provide comprehensive administrative and operational support to senior leadership. This role requires excellent coordination skills, strong communication abilities, and the capability to manage multiple priorities across regional stakeholders.

Key Responsibilities

  • Calendar & Schedule Management

  • Manage complex calendars, appointments, and meetings across multiple time zones

  • Coordinate internal and external meetings, ensuring optimal scheduling and prioritization

  • Prepare agendas, meeting materials, and follow-ups

  • Coordination & Liaison

  • Act as the main point of contact between the executive and internal/external stakeholders

  • Liaise with vendors to manage deliverables, timelines, and service quality

  • Coordinate with regional consultants and cross-border teams to ensure smooth communication and execution

  • Administrative Support

  • Handle travel arrangements, including flights, accommodation, and itineraries

  • Prepare reports, presentations, and correspondence as required

  • Maintain organized documentation and filing systems

  • Operational & Project Support

  • Assist in tracking key projects, deadlines, and deliverables

  • Support ad-hoc initiatives and business activities

  • Ensure timely follow-ups and execution of action items

Requirements

  • Diploma or Bachelor's degree in Business Administration or related field

  • Minimum 3-5 years of experience as an Executive Assistant, Personal Assistant, or similar role

  • Proven experience in calendar management, scheduling, and stakeholder coordination

  • Experience liaising with vendors and regional/international teams is highly preferred

  • Strong organizational and multitasking skills with high attention to detail

  • Excellent verbal and written communication skills

  • Proficient in Microsoft Office (Outlook, Excel, PowerPoint, Word)

  • Ability to handle confidential information with discretion

  • Proactive, resourceful, and able to work independently

Preferred Qualifications

  • Experience supporting C-level executives

  • Exposure to regional or global operations

  • Prior experience in a consultancy or fast-paced environment is an advantage
