An upscale Classical Pilates studio with a presence in Singapore and Hong Kong, the brand is dedicated to delivering high-quality, authentic Pilates training in a refined and welcoming environment. With one studio in Singapore and two inHong Kong, it combines expert instruction, personalized attention, and a strong commitment to client results. The studio emphasizes excellence in teaching, customer experience, and overall wellness, creating a supportive space for clients of all levels.

About the Role

We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to support the Director of a dynamic Pilates studio under Flex Global. This role is ideal for someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and values working closely with leadership to ensure smooth day-to-day operations.

You will be based at the studio, working in close contact with the Director to maximize efficiency and responsiveness.

Executive Assistant Responsibilities

Key Responsibilities

- Director Support & Coordination

  • Manage and coordinate all director-related schedules, including meetings, travel, accommodation, and logistics
  • Manage budgeting, payments, invoicing, and basic bookkeeping, including expense tracking and financial administration
  • Assist with Social Media & Communications eg.Instagram posting and profile management
  • Support with miscellaneous personal and business-related tasks as needed

- Program & Operations Management

  • Responsible for Real Pilate Teacher Training program and Intensives programs
  • Oversee planning and execution of the programs, include coordinating, schedules and logistics
  • Liaise with partners, vendors, and participants to ensure smooth program delivery

Requirements

- Strong organizational and multitasking skills
- Excellent attention to detail and ability to anticipate needs
- Comfortable handling administrative, operational, and light creative tasks
- Good communication skills and a proactive mindset
- Experience with Budgeting and Basic Bookkeeping
- Knowledge of Microsoft office (Words, Excel, Outlook)
- Familiarity with Instagram or social media platforms is a plus
- Ability to work independently while staying closely aligned with the Director

Working Arrangement

- Based in Singapore, working from the studio
- Approximately 3 to 3.5 days per week
- Flexibility may be required to accommodate urgent tasks, events, or deadlines.
- Occasional work outside regular hours (including evenings or off days) may be requested and will be compensated accordingly
- Remote work may be considered with prior approval.
