Job Description

This is a 12-months contract hire.

Responsibilities:

  • Provide comprehensive administrative support to two senior executives.
  • Manage visa applications and travel documentation for executives.
  • Prepare, track, and reconcile expense reports.
  • Assist with daily administrative requests, including IT, facilities, equipment orders, and subscriptions.
  • Coordinate meeting room bookings and logistics for internal and external meetings.
  • Support purchase order requisitions and procurement processes.
  • Track and manage fiscal year budgets for travel and expenses.
  • Create high-quality deliverables, including briefing documents and meeting notes.
  • Maintain and update calendars, travel details, and contact information.
  • Assist with logistics for leadership offsite meetings and events.
  • Monitor executives calendars and manage last-minute changes as needed.
  • Collaborate with a small team to ensure smooth operations of the executive office.

Requirements:

  • 810 years of relevant experience supporting multiple executive calendars, prior experience working within the tech industry will be a plus.
  • Highly organized with excellent calendar management and meeting coordination skills.
  • Proven ability to handle highly sensitive information with discretion and confidentiality.
  • Strong administrative skills with a track record of meeting deadlines and producing accurate work.
  • Strong planning and organizational skills with the ability to prioritize competing demands.
  • Proficiency with office productivity software and experience supporting senior-level executives.
