  • SuccessFactors (Learning, Career & Succession) Implementation Support
    • Provide administrative and coordination support for implementation of SuccessFactors Learning, Career & Succession modules (e.g., schedules, documentation, stakeholder follow-ups, trackers).
    • Coordinate implementation workshops, meetings, and stakeholder consultations (room/virtual set-up, invites, materials, attendance, minutes and action logs).
    • Support data preparation, data entry and testing (basic data checks, consolidation, UAT scheduling, issue logging and follow-ups).
  • T&OD Programmes, Events and Workshops Support
    • Support planning and delivery of T&OD programmes, events and workshops (in-person/virtual) with stakeholders and vendors.
    • Manage participant administration and logistics (registration/attendance/feedback, materials, AV/IT, venue/virtual platform) and provide on-the-day support.
    • Complete post-event administration (records reconciliation, feedback collation, filing and follow-ups).
  • Procurement and Financial Administration
    • Support procurement for programmes/events (sourcing, quotations and documentation) in line with guidelines.
    • Coordinate ITQ/ITT activities, meetings, evaluations, and vendor administration (POs, invoices, supporting documents and payment tracking).
  • Communications and Administrative Support
    • Draft and send routine internal communications for programmes/events and system updates (eDMs, invites, reminders intranet/SharePoint updates).
    • Support shared mailbox/enquiry management and maintain trackers, records and documentation.
    • Provide general administrative support (meeting coordination, filing, materials collation and basic reporting) and other duties as assigned.
  • Any other duties as assigned.

Qualifications

  • Polytechnic diploma with at least 2 years of administrative experience.
  • Operations & delivery: Strong coordination and administrative skills to support programmes/events and HR initiatives (planning, scheduling, logistics, registrations, post-activity follow-up).
  • Stakeholder support and service orientation: Able to liaise with internal teams, vendors and participants follows through on actions within agreed timelines.
  • Planning, organisation and reporting: prioritises well, manages multiple tasks, and delivers accurate work under time pressure maintains accurate trackers/records (e.g., attendance, registrations) and prepares basic summaries and documentation
  • Communication skills: writes clearly and professionally for internal messages (emails/eDMs, invitations, reminders, intranet updates).
  • Digital & AI: proficient in MS Office and collaboration tools (Teams/SharePoint) uses AI tools effectively and appropriately.
  • HR& Procurement Systems: familiarity with HR/learning and procurement systems (e.g., SuccessFactors, Ariba) is an advantage.
