Job Description

Key Responsibilities

  • Lead end-to-end planning and delivery of conferences, exhibitions and related event components.
  • Develop and manage event timelines, production schedules and operational plans.
  • Coordinate venue logistics, AV, staging, branding, registration and on-site operations with Operations lead.
  • Oversee speaker management, programme execution and protocol requirements where applicable with relevant leads.
  • Work with Sales lead on fulfilment of contractual entitlements.
  • Manage vendor relationships and negotiate with suppliers to ensure cost efficiency and quality delivery.
  • Work closely with internal conference, sales, marketing & communications and operations teams to align event objectives.
  • Develop and manage event budgets, tracking expenses and ensuring financial accountability.
  • Oversee procurement processes and contractual documentation.
  • Prepare post-event reports including KPIs, feedback analysis and recommendations.
  • Manage manpower, crew briefings and show-day coordination.
  • Ensure high standards of guest experience and stakeholder satisfaction.
  • Ensure compliance with IT security SOPs set in place internally by internal conference team and external vendors hired for the conference(s).
  • Look at creative ways to deliver a high quality and memorable experience for attendees.
  • Day-to-day administration to facilitate scope of work.
  • Any other tasks which may be assigned from time to time by your reporting officer and Director.

Requirements

  • Minimum 3 - 5 years of experience in event management, preferably in B2B conferences and exhibitions.
  • Proficiency in Microsoft Office.
  • Strong project management and organisational skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple stakeholders and work under pressure.
  • Ability to work in a fast-paced and highly cross-functional organization.
  • Willingness to work extended hours during event periods.
  • Strong interpersonal communication skills with client-service orientation.
  • Possess a good working attitude and willingness to learn.
  • Possess good planning, organisational and multi-tasking skills.
  • Possess good communication & negotiation skills.
  • Possess a positive attitude and high standards in work ethics & personal integrity.
