As Event Manager, you are responsible for the planning, coordination, and execution of banquet events and restaurant buyouts, ensuring seamless operations and exceptional guest experiences. This role also oversees the day-to-day management, maintenance, and presentation of event spaces to ensure they consistently meet brand and operational standards.
Job Description
Daily Operational Tasks
- Review the daily event order (BEO) and function sheets for upcoming events
- Conduct daily walkthroughs of event and banquet spaces to ensure cleanliness, maintenance, and readiness
- Confirm event setups including layouts, AV requirements, dcor, and special requests
- Liaise with the kitchen regarding menus, dietary requirements, and timing of service
- Coordinate with the service team on staffing levels and event flow
- Conduct pre-service briefings with banquet and service teams
- Act as the main on-site contact for event clients during functions
Event Coordination & Administration
- Respond to client emails and follow up on event details and confirmations in conjunction with sales team
- Update event documentation including floor plans, run sheets, and BEO updates with sales team
- Conduct site inspections for confirmed or potential clients
- Prepare and distribute event resumes to operational teams
- Coordinate with external vendors (florists, AV suppliers, entertainers, etc.) Ensure all deposits, contracts, and payment details are properly tracked
Event Execution Responsibilities
- Oversee event setup to ensure it meets client and brand standards
- Monitor service delivery during events to ensure smooth execution
- Troubleshoot operational issues during functions
- Ensure proper event breakdown and reset of spaces after events
- Conduct post-event checks to ensure spaces are returned to operational standards
Maintenance & Upkeep of Event Spaces
- Perform daily inspections of furniture, fixtures, and equipment
- Report maintenance issues and follow up with engineering or contractors
- Ensure proper storage and inventory of event equipment (tables, chairs, linen, etc.)
- Maintain par stock levels of operating equipment and supplies
- Ensure compliance with safety and cleanliness standards
Financial & Reporting Tasks
- Review event checks and billing accuracy
- Track event revenues and basic cost controls
- Prepare daily or weekly event reports if required
- Monitor upselling opportunities (beverage packages, upgrades, add-ons)
Preferred Qualifications:
- Diploma or Degree in Hospitality, Events Management, or related field.
- Minimum 2-4 years of experience in event or banquet operations, preferably in a hotel or upscale restaurant environment.
- Strong organizational and communication skills.
- Ability to work flexible hours including evenings, weekends, and public holidays.
- Detail-oriented with strong problem-solving abilities.
- Able to work shifts and weekends
