Job Description
Job Summary
The Environmental Services Supervisor is responsible for the day-to-day supervision, coordination, and monitoring of housekeeping and environmental services activities across the Home. The role oversees Health Attendants (HAs) and other staff assigned to housekeeping duties, ensuring proper manpower deployment, cleaning standards, environmental hygiene, documentation, equipment and consumable control, workplace safety, and service quality.
The role works closely with Nursing, Infection Prevention and Control, Facilities, and other departments to maintain a clean, safe, and hygienic environment for residents, staff, and visitors.
The supervisory responsibility of this position over Health Attendants is limited to their assigned housekeeping and environmental services duties. The position does not supervise, assign, orassess nursing, clinical, or direct resident-care duties. Such responsibilities remain under the Director of Nursing and authorised Nursing / Clinical personnel.
Key Responsibilities
1. Housekeeping Operations and Manpower Deployment
- Plan and coordinate the daily deployment of HAs and other staff assigned to housekeeping duties across wards, common areas, offices, toilets, activity areas, and other designated areas.
- Conduct daily briefings and assign housekeeping duties, work areas, and priorities according to operational requirements.
- Ensure adequate housekeeping manpower coverage during staff absence, leave, or changes in operational requirements.
- Monitor attendance, punctuality, deployment, and completion of assigned housekeeping duties.
- Ensure proper shift handover and communication of outstanding housekeeping matters.
- Respond promptly to urgent cleaning requirements, spills, contamination, and other environmental cleanliness issues.
2. Cleaning Standards and Environmental Hygiene
- Supervise and monitor the completion of daily, periodic, and scheduled cleaning activities.
- Conduct routine inspections of wards, toilets, common areas, offices, and other assigned areas to ensure required cleanliness standards are maintained.
- Ensure cleaning duties are carried out according to approved schedules, procedures, and established standards.
- Identify areas that do not meet the required standard and arrange for timely corrective action.
- Coordinate deep cleaning and other special environmental cleaning requirements where necessary.
- Ensure housekeeping activities are carried out with minimal disruption to residents and ward operations.
3. Supervision and Performance of HAs
- Provide day-to-day supervision and guidance to HAs specifically in relation to their housekeeping and environmental services responsibilities.
- Monitor the quality and completion of assigned housekeeping duties.
- Provide hands-on guidance, coaching, and corrective instruction where required.
- Identify performance or competency gaps relating to housekeeping duties and arrange appropriate follow-up or retraining.
- Escalate repeated performance, attendance, conduct, or disciplinary concerns to the reporting officer and relevant department.
- Work with Nursing supervisors where the deployment or duties of an HA involve both housekeeping and resident-care responsibilities.
4. Infection Prevention and Environmental Safety
- Ensure staff comply with established environmental cleaning and disinfection procedures.
- Ensure appropriate cleaning methods, equipment, chemicals, and Personal Protective Equipment (PPE) are used for the respective areas.
- Monitor the proper segregation and use of cleaning equipment to minimise cross-contamination.
- Work with Nursing and Infection Prevention and Control personnel on environmental hygiene requirements.
- Coordinate additional cleaning and disinfection measures during outbreaks or other situations requiring enhanced environmental cleaning.
- Promptly report environmental hygiene or infection-control concerns to the relevant personnel.
5. Equipment, Cleaning Chemicals and Consumables
- Monitor the proper use, handling, storage, and maintenance of cleaning equipment, chemicals, and consumables.
- Ensure cleaning chemicals are properly labelled, stored, and used according to approved procedures and manufacturers instructions.
- Monitor stock levels and usage of cleaning supplies and consumables.
- Conduct regular stock checks and coordinate replenishment when required.
- Monitor consumption and minimise unnecessary wastage or misuse of supplies.
- Ensure cleaning equipment is properly cleaned, maintained, and stored after use.
- Report defective equipment and coordinate repair or replacement where necessary.
6. Documentation and Administrative Control
- Ensure cleaning schedules, housekeeping checklists, inspection records, and other required documents are properly completed.
- Review housekeeping checklists and verify completion of assigned duties.
- Maintain proper records of housekeeping manpower deployment, cleaning activities, inspections, equipment, and consumable usage.
- Record and report significant cleanliness issues, operational concerns, and service deficiencies.
- Track identified deficiencies and follow up on corrective actions until closure.
- Prepare operational updates and reports when required.
7. Staff Training and Competency
- Support the orientation and on-the-job training of new HAs in relation to housekeeping responsibilities.
- Provide guidance on cleaning methods, chemical handling, equipment usage, infection prevention, and workplace safety.
- Conduct or coordinate housekeeping briefings, toolbox sessions, and refresher training.
- Identify housekeeping training and competency gaps and recommend appropriate follow-up.
- Ensure staff understand their assigned duties and required service standards.
8. Workplace Safety and Health
- Ensure safe work practices are followed during housekeeping activities.
- Ensure appropriate PPE, warning signs, and safety measures are used where required.
- Monitor the safe handling and storage of cleaning chemicals and equipment.
- Identify and report environmental hazards such as wet floors, damaged equipment, unsafe storage, or obstructions.
- Ensure staff are familiar with relevant emergency, fire safety, and evacuation procedures.
- Report accidents, incidents, near misses, and workplace injuries according to established procedures.
9. Quality, Audit and Compliance
- Conduct regular cleanliness inspections and housekeeping audits.
- Monitor compliance with approved housekeeping procedures, schedules, checklists, and service standards.
- Support preparation for internal and external audits relating to environmental services.
- Assist in compiling audit findings, corrective actions, and follow-up status.
- Monitor repeated service deficiencies and implement appropriate corrective measures.
- Participate in quality improvement initiatives relating to environmental hygiene and housekeeping operations.
10. Interdepartmental Coordination and Service Support
- Work closely with Nursing, Operations, Facilities, Infection Prevention and Control, and other departments on housekeeping and environmental services matters.
- Coordinate housekeeping requirements within resident-care areas with the relevant Nursing personnel.
- Refer any nursing, clinical, or resident-care matters observed during housekeeping activities to the appropriate Nursing personnel.
- Escalate maintenance, safety, pest control, or environmental concerns to the appropriate department.
- Respond professionally and promptly to feedback relating to environmental cleanliness and housekeeping services.
11. General Responsibilities
- Maintain a good understanding of the Home's policies, procedures, and operational requirements relevant to environmental services.
- Respect residents privacy, dignity, personal belongings, and living environment at all times.
- Participate in meetings, training, audits, and organisational activities where required.
- Perform other reasonable housekeeping and environmental services-related duties assigned by the reporting officer.
