Responsibilities:
- Manage and control project documentation and information, including drawing standards and templates, from both internal and external stakeholders.
- Deliver document control services in compliance with project specifications and client requirements.
- Ensure all incoming and outgoing documentation is complete, accurate, traceable, and properly verified according to transmittal protocols.
- Upload and download documents/drawings via Classification Society platforms and ensure proper distribution to relevant stakeholders.
- Assess current document control processes to identify gaps, inefficiencies, and opportunities for improvement.
- Proactively identify and resolve documentation issues and discrepancies using CAPA or similar problem-solving methodologies.
- Prepare and update weekly summary reports, providing clear visualizations of document status (incoming, outgoing, discrepancies, overdue).
- Consolidate departmental man-hours and upload data into SAP.
- Support preparation of Tender Project and As-Fitted documentation.
Requirements:
- Diploma or Bachelor's degree in a relevant discipline.
- Minimum 2 years experience in document control or managing documentation within a related industry.
- Familiarity with M365 applications (Power BI, Automate, Apps, Visio, etc.) or strong adaptability to new document management tools is an advantage.
- ISO 9001 certification or experience working within quality management systems is preferred.
- Self-motivated, detail-oriented, and well-organized, with the ability to manage multiple tasks and tight timelines.
- Ability to resolve conflicts constructively and work effectively with internal and external stakeholders.
