Role Summary
The Document Controller will be responsible for managing, controlling, and maintaining company and project documentation in compliance with ISO standards and the Integrated Management System (IMS). This role ensures proper document flow, version control, accessibility, and alignment with regulatory, contractual, and corporate requirements.
Key Responsibilities
- Develop, implement, and maintain the document control system in alignment with ISO 9001, ISO 14001, ISO 45001, and the company's Integrated Management System (IMS).
- Ensure proper registration, classification, archiving, and retrieval of documents (policies, procedures, work instructions, drawings, vendor documents, project records).
- Control issuance, distribution, and tracking of controlled documents to internal and external stakeholders.
- Ensure document revisions and updates are reviewed, approved, and communicated to relevant parties.
- Support audits (internal, external, client, certification) by ensuring timely availability of accurate documentation and records.
- Maintain confidentiality and security of company and client documentation.
- Monitor document compliance with ISO/IMS requirements and report deviations.
- Train staff on document management procedures and best practices related to ISO and IMS.
- Support continuous improvement by recommending updates to document control procedures.
Requirements
- Diploma or Bachelor's degree in Business Administration, Quality Management, or related discipline.
- Proven experience (3-5 years) as a Document Controller in oil & gas, engineering, or construction industries.
- Strong knowledge of ISO standards (ISO 9001, 14001, 45001) and Integrated Management Systems (IMS).
- Familiarity with electronic document management systems (EDMS) and DCC software.
- Excellent organizational skills, attention to detail, and accuracy.
- Ability to manage large volumes of documents efficiently.
- Strong communication and coordination skills across departments.
