Establish and maintain an effective document control system for the project.
Register, track, distribute, and archive all incoming and outgoing documents.
Ensure correct document numbering, version control, and revision status.
Maintain master document registers and logs (drawings, specifications, correspondence, etc.).
Manage construction-related documents including:
Drawings (architectural, structural, M&E)
Method statements
Shop drawings
Material submissions
Technical submissions
Inspection requests (IR), inspection test plans (ITP)
Site instructions and RFIs
Ensure approved documents are issued to site teams and obsolete documents are withdrawn.
Control and maintain QS-related documents such as:
Bills of Quantities (BQ)
Cost plans and budgets
Variation orders (VO)
Interim payment applications / progress claims
Valuation documents
Subcontractor agreements and claims-related correspondence
Coordinate document flow between QS, site team, consultants, and clients.
Liaise with project managers, engineers, QS, consultants, and subcontractors on document matters.
Ensure timely submission and receipt of documents in line with project schedules.
Support audits and ensure documentation complies with contractual and ISO requirements (if applicable).
Prepare weekly/monthly document status reports.
Maintain proper filing (softcopy and hardcopy, where required).
Ensure documents are archived upon project completion.
Minimum 2-5 years experience as a Document Controller in construction projects.
Familiar with construction and QS documentation processes.
Proficient in document management systems (e.g. Aconex, Procore, Asite, SharePoint, or similar).
Strong attention to detail and organisational skills.
Able to work with multiple stakeholders and meet deadlines.
