Job Description
Camarine Supervision is currently supporting a client in the offshore, marine and energy sector in the search for an experienced
Key Responsibilities:
- Manage and maintain project documentation in accordance with established document control procedures and requirements.
- Receive, register, distribute, track and archive project documents and correspondence.
- Maintain accurate document registers, transmittals and document status reports.
- Ensure documents are correctly identified, version-controlled and distributed to relevant stakeholders.
- Monitor document revisions and ensure the latest approved documents are available to project teams.
- Coordinate the submission, review, approval and return of technical and project documentation.
- Manage incoming and outgoing document transmittals and maintain proper records.
- Follow up with relevant departments, contractors, vendors and project stakeholders on outstanding documentation.
- Ensure project documentation is properly filed and readily retrievable when required.
- Support document numbering, coding, naming conventions and document classification.
- Maintain electronic and, where required, hard-copy document filing systems.
- Prepare regular document control reports and provide updates on document status and outstanding submissions.
- Assist project teams with document retrieval, distribution and administrative requirements.
- Ensure documentation is handled in accordance with project procedures, quality requirements and confidentiality requirements.
- Support project close-out activities, including compilation, checking and archiving of final project documentation.
Requirements
- Diploma or Degree in Business Administration, Engineering, Information Management, or a related discipline.
- 3-7 years of relevant experience in document control, preferably within the offshore, marine, oil & gas, energy, EPC, shipyard or engineering industries.
- Experience working on large-scale engineering, construction, offshore or marine projects is highly preferred.
- Familiarity with document management systems and electronic document control platforms.
- Good understanding of document numbering, revision control, transmittals and document registers.
- Proficient in Microsoft Office, particularly Excel and Word.
- Strong attention to detail and organisational skills.
- Good written and verbal communication skills.
- Ability to manage multiple documents, priorities and deadlines in a fast-paced project environment.
- Able to work effectively with engineers, project managers, contractors, vendors and other stakeholders.
- Strong sense of confidentiality and accuracy when handling project documentation.
