Job Description

The Deputy Executive is responsible for mailroom duties through efficiently handling incoming and outgoing mail and packages within the organization. He / She will also be responsible for maintaining accurate records, coordinating with various departments, and providing excellent customer service. He / She is also required to administer and manage patient's medical records as part of the Medical Records Office function.

Mailroom Duties

  • Daily receiving of all incoming mails and faxes. Sorting, distributing, and processing mail items and ensure timelydelivery to the respective recipients.
  • Daily sorting and weighing of all outgoing mails. Determine correct postage fee and franked.
  • Arrange the registered mails to be dispatched at Singpost.
  • Stamp received date on all BREs and sort according to mode of donation
  • Compile data (categorised into cash, cheques, GIRO and credit cards) into the system and generate a Daily mail log report and a BRE report.
  • Stock supplies for mailroom equipment.
  • Update daily franking usage.

Medical Records Office Duties

  • Sorting, filling and retrieving of patients medical records
  • Liaising with DCs on transferring of patients medical records
  • Updating of records into excel database
  • Categorizing and storing of files into allocated storage space
  • Prepare records of patients who are discharged for mortality review

Other administrative duties as assigned by supervisor

Qualification
Min GCE O / N Levels

Experience

  • General office skills, especially in sorting, filling, retrieving and despatching of records
  • Experience in healthcare environment will be an asset
  • Team player
  • Computer literate
  • Basic Microsoft office skills, in particular Excel
  • Communication
  • Candidates with driving license will be preferred
