Crewing Manager - Outside Broadcast (OB)
Job Summary
The Crewing Manager is responsible for the end-to-end planning, coordination, and management of both freelance and staff crew for Outside Broadcast (OB) productions. This role ensures that all productions are adequately staffed with qualified personnel, while maintaining cost efficiency, compliance, and operational excellence in a fast-paced, live broadcast environment.
Key Responsibilities
Crewing Manager should perform below responsibilities for the assigned projects.
1. Crew Planning & Scheduling
- Plan, allocate, and schedule crew for all OB events including sports, concerts, and live broadcasts
- Ensure the right mix of skills, experience for each project.
- Work closely with Engineering Department to ensure allocation support necessary skill growth and exposure for in-house engineering staff.
- Work closely with Engineering department to maximize in-house crew utilization while ensuring quality of equipment preparation is considered.
- Manage short-term and long-term crewing plans across multiple projects.
- Provide the sales team with up-to-date crew availability information to support the quotation process.
- Ensure appropriate rotation of in-house staff across various sports and technical setups to meet multi-skilling requirements and enhance operational flexibility.
2. Talent Sourcing & Management
- Build and grow a strong network of both technical freelance crew (in key areas of vision, audio, RF and EVS) and production crew.
- Negotiate rates, availability, and contractual terms
- Continuously monitor the regional market to stay informed of prevailing freelancer rates and industry practices across all regions.
- Maintain up-to-date crew database including skills, certifications, and availability
3. Logistics & Coordination
- Coordinate travel, accommodation, and transport for crew when the arrangements are carried out by the client and book directly when the company is in charge.
- Issue call sheets and ensure clear communication of schedules and expectations.
- Liaise with production, operations, and technical teams to align crewing needs including necessary hand-carry deliveries.
4. Support During Project Execution
- Act as point of contact for crewing issues during their travel and when on-site.
- Manage last-minute changes such as cancellations, delays, or additional requirements
- Ensure minimal disruption to live broadcast operations
5. Compliance & Administration
- Ensure compliance with regulations, and health & safety standards.
- Manage contracts, timesheets, and payment coordination.
- Handle visas, permits, and insurance for international assignments.
6. Budget Management
- Monitor and control crewing costs in line with the budgets.
- Optimize resource allocation without compromising quality.
- Provide cost forecasts before the project and reports for actual cost after the project.
7. Team Management & Training
- Lead, supervise, and develop crewing coordinators and junior staff reporting to the Crewing Manager.
- Provide structured onboarding and continuous training on OB, crewing systems, and operational procedures.
- Establish clear roles, responsibilities, and performance expectations for team members
- Conduct regular performance reviews, provide constructive feedback, and support career development
- Provide training to enhance team capabilities in scheduling, logistics coordination, and live event support and ensure knowledge sharing and best practices across the team to improve efficiency and consistency
- Mentor staff in problem-solving, decision-making, and handling high-pressure live broadcast situations
- Identify skill gaps and implement targeted training initiatives to address operational needs
- Foster a collaborative, responsive, and high-performance team culture aligned with production demands
8. Relationship Management
- Build strong relationships with crew, agencies and internal stakeholders.
- Support cew welfare, engagement, and retention.

Qualifications & Experience
- Diploma/Degree in Media, Broadcasting, Communications, or related field
- 6-8 years of experience in crewing, production coordination, or broadcast operations (experience in live broadcast or OB environment preferred)
- 2-3 years of team management experience
