Job Description
The Crewing Assistant Manager ensures vessels are manned with competent, certified, and medically fit seafarers in line with company standards, ISM Code, client requirements, and charter party obligations. The role oversees endtoend crewing operations (planning, recruitment, onboarding, rotations, payroll, and welfare), supports compliance and audits, and contributes to talent development, cost control, and digital process efficiency across the fleet.
Responsibilities
- Assist in planning and executing crew change schedules in coordination with Vessel Managers and shipboard teams.
- Maintain updated crew matrices and ensure timely deployment and repatriation of crew.
- Monitor crew performance, appraisals, and training needs.
- Oversee daily administration and management of SMARTPAL software, ensuring accurate and up-to-date crew data.
- Manage SMARTPAL workflows for crew planning, rotations, document validity, contract issuance, and compliance tracking.
- Coordinate with the PMS team to resolve system issues and implement improvements or updates.
- Prepare and verify monthly crew payroll, including wages, overtime, leave pay, union dues, and reimbursements.
- Coordinate with Finance to ensure timely salary disbursements and resolve discrepancies.
- Maintain payroll reports, MLC-compliant wage records, and crew allotment documentation.
- Manage ongoing P&I claims, including injury, illness, disability, and related crew welfare cases.
- Liaise with P&I teams, medical providers, manning agents, and legal representatives for timely case updates and required documentation.
- Maintain detailed case files and provide periodic status reports to management.
- Support internal/external audits related to crewing, MLC, and ISM compliance.
- Provide periodic reports on manning status, costs, crew certificates, and training.
- Ensure accurate and timely submission of flag-state and statutory crew reports.
Requirements
- Bachelor's degree in related field
- 5 to 7 years of experience in crewing operations
- Knowledge of maritime regulations
- Strong organizational, communication, and administrative skills
- Good decision-making and problem-solving skills
- Ability to work under pressure and handle emergencies
- Proficiency with relevant software and databases
