Responsibilities
- Corporate Secretariat & Governance
- Provide company secretarial and governance advisory support to the Corporate Secretarial Manager and Company Secretary
- Prepare Board resolutions, ensuring accuracy and compliance with statutory and constitutional documents
- Maintain and update statutory books, registers and corporate records
- Assist with statutory filings with relevant governmental authorities
- Prepare reports, presentations, meeting agendas, and coordination of Board and various management meetings (Meetings), including collaborating and coordinating with the multiple departments in the presentation of various materials required for Meetings
- Assist with a broad variety of ad hoc tasks and projects
- AI & Process Transformation
- Support and, where appropriate, take ownership of the Corporate Secretariat function's digitisation and AI adoption initiatives, including identifying opportunities to streamline, automate or enhance manual and repetitive tasks
- Assist in mapping current-state Corporate Secretariat processes and recommend workflow improvements to enhance turnaround time, accuracy and scalability
- Support change management and user adoption within the team, including assisting with training, guidance and implementation of new digital tools and processes
- Assist in tracking, following up, and reporting productivity and efficiency gains from automation and process improvement initiatives

Education And/or Experience
- Diploma or Degree holder with at least 4-6 years of relevant corporate secretarial experience
- Progress towards or holding a Chartered Secretary (ICSA/CGP) qualification is an advantage
- Demonstrated interest or prior experience in process improvement, digitization or AI-enabled automation is a strong advantage
- Proficient in MS Office
- Knowledge of Viewpoint, Diligent Boards and OrgPlus is an advantage
