Job Description

Overview

We are looking for an experienced Contract Management Specialist to support our global commodity trading business. This position plays a key role in ensuring commercial agreements are accurately documented, transactions are executed efficiently, and contractual obligations are fulfilled throughout the trade lifecycle.

Working alongside Trading, Operations, Shipping, Trade Finance, Finance, Credit Risk, Compliance, and external legal advisors, you will act as the focal point for contract administration while helping safeguard the company's commercial and legal interests. The ideal candidate thrives in a dynamic trading environment, demonstrates strong commercial judgement, and possesses exceptional coordination skills.

Key Responsibilities

Contract Administration

  • Prepare commercial contracts based on executed trade confirmations and agreed transaction terms.
  • Review contractual clauses to ensure consistency with negotiated commercial arrangements and internal governance standards.
  • Liaise with internal stakeholders and external counterparties to address contractual queries, discrepancies, and operational matters.
  • Track contract progress to ensure timely execution, approval, and completion by all parties.
  • Administer contract revisions, renewals, addendums, and other post-execution amendments.
  • Maintain accurate contract documentation and ensure all records are properly filed throughout the contract lifecycle.
  • Monitor contractual commitments, critical deadlines, and deliverables to ensure compliance with agreed obligations.

Trade Execution & Settlement

  • Coordinate the end-to-end execution of physical commodity transactions, including shipment scheduling, trade documentation, invoicing, settlement, and reconciliation activities.
  • Review pricing adjustments, provisional and final invoices, quantity and quality settlements, debit/credit notes, demurrage calculations, and other commercial claims.
  • Work closely with operations and finance teams to ensure timely settlement of trades and prompt resolution of payment-related issues.

Governance, Risk & Compliance

  • Monitor contractual performance and support the preparation of operational reports and management information.
  • Ensure contractual documentation complies with internal policies relating to sanctions, export controls, anti-money laundering (AML), anti-bribery and corruption (ABC), and other regulatory requirements.
  • Conduct counterparty due diligence, including KYC verification, beneficial ownership validation, sanctions screening, and adverse media checks prior to transaction execution.
  • Maintain complete audit trails, including signed agreements, approvals, amendments, correspondence, and supporting documentation within the company's ERP platform.
  • Participate in continuous process enhancement initiatives to improve contract governance and operational efficiency.

Requirements

  • Bachelor's degree in Business, Supply Chain, Finance, Law, Commerce, or a related discipline.
  • Minimum 5 years of relevant experience within commodity trading, trade operations, commercial contract management, or a similar environment.
  • Good understanding of international trade practices, including Incoterms, shipping documentation, logistics processes, and trade settlement.
  • Hands-on experience using ERP platforms for contract administration and transaction management.
  • Advanced proficiency in Microsoft Excel and other Microsoft Office applications.
  • Strong analytical mindset with excellent organisational skills and meticulous attention to detail.
  • Effective communicator with the ability to manage relationships across multiple business functions and external stakeholders.
  • Comfortable working with international teams across different regions and time zones.
  • Previous experience partnering with cross-functional departments in a fast-moving commercial environment.
  • Mandarin language capability would be advantageous to support interactions with Chinese-speaking stakeholders.
  • Solid understanding of UCP 600 and Letter of Credit documentation. Exposure to ISBP, URC 522, URDG 758, and ISP98 will be considered a strong advantage.
