Job Description

The Contract Manufacturer Coordinator is responsible for managing contractor manufacturer relationships and critical suppliers through the development and execution of sourcing strategies ensuring the reliable supply and the quality of medical products and materials. This role combines manufacturing technical capability, strategic procurement with demand planning to balance cost, quality, compliance, and supply continuity. The position requires strong interpersonal skills, knowledge of medical industry regulations, supplier management, manufacturing engineering experience, and cross-functional collaboration to support business objectives. The Contract Manufacturer Coordinator will work onsite in Vapotherm&aposs Technical Office in Singapore and must be able to communicate verbally and written in English.

Primary Responsibilities:

  • Act as primary interface for Vapotherm in communication to contract manufacturer and its critical suppliers the needs and expectations of product quality, delivery performance and overall company goals.
  • Develop and implement strategic sourcing plans for medical devices, equipment, and raw materials in partnership with Vapotherms contractor manufacturers.
  • Monitor supplier performance through KPIs and drive continuous improvement initiatives.
  • Measure and communicate supplier quality and delivery performance. Coordinates and runs periodic business reviews as necessary.
  • Collaborate with planning teams to ensure accurate demand forecasting and secure supply continuity.
  • Ensure compliance with medical industry regulations, quality standards, and company policies.
  • Support risk management activities by identifying and mitigating supply chain vulnerabilities.
  • Partner with R&D, Quality, Regulatory, and Operations teams to align sourcing strategies with business needs.
  • Manage the purchasing process, including purchase orders, lead times, and delivery tracking.
  • Coordinate the timely disposition of NCMRs and support all QA activities to communicate non-conformance and corrective actions with suppliers.
  • Stay up to date with market trends, new technologies, and emerging suppliers in the medical field.
  • Contribute to cost savings initiatives and total cost of ownership improvements.
  • Maintain and follow purchasing procedures to conform to business regulations.
  • Ensure data accuracy and maintenance of parts in ERP system; including lead times, ABC classifications, safety stock level, and other planning features.
  • Manage and respond to MRP requirements weekly. Coordinate & expedite the placement of purchase orders and/or delivery of material. Resolve discrepancies including Accounts payable.
  • Manages the implementation of Engineering Changes throughout the product lifecycle to minimize obsolete inventory within change effectivity constraints. Implements dispositions affecting stock, work in progress. Is aware of pending changes, manages existing inventory, new and existing orders to ensure expedited cut in of changes
  • Troubleshoot vendor issues and pro-actively offer solutions.
  • The employee is required to work in the Singapore Vapotherm office.
  • Knowledge of contract management
  • Experience conducting supplier QBRs (Quarterly Business Reviews)

Additional Responsibilities

  • Performs other duties as required.
  • Assist with inventory control and physical inventories as necessary
  • Assist with various manufacturing activities as necessary

Position Requirements - Education, Knowledge, Years of Experience, etc. (Bulleted form):

  • B.S. Degree in Business, Engineering, Supply Chain preferred or equivalent work experience.
  • 510 years of experience in procurement, sourcing, or planning, with at least 3+ years in the medical devices, pharma, or healthcare industry.
  • Excellent communication skills (minimum B2, preferably C1 English level); additional languages are a plus.
  • Must show prior experience dealing with technical issues related to manufacturing engineering.
  • Strong knowledge of medical regulatory requirements (e.g., FDA, ISO 13485, GMP).
  • Proven experience in supplier negotiations, contract management, and cost optimization.
  • Skilled in demand planning, forecasting, and inventory management.
  • Experience with ERP/MRP systems (SAP, Oracle, or similar).
  • Strong analytical, problem-solving, and decision-making skills.
  • Ability to work cross-functionally in a fast-paced, regulated environment.
  • Willingness and ability to travel internationally as required.
